We’re on the lookout for a Personal / Executive Assistant to join our expanding team and drive our company’s growth!


The Challenge

As our company continues to grow and evolve, the demands on our leadership team are increasing significantly. Our CEO’s time is often consumed by administrative tasks, email management, and meeting coordination, which detracts from their ability to focus on strategic initiatives and high-priority projects. By bringing this role on board, we can ensure that our leaders are freed up to concentrate on driving the company forward while maintaining seamless operational support.


Day in the Life of a Personal / Executive Assistant at GT Ecom

    • Manage calendars effectively, scheduling meetings, appointments, and avoiding conflicts
    • Oversee email management, ensuring inbox organization, timely responses, and follow-ups
    • Prepare documents such as reports, presentations, and meeting materials with attention to detail
    • Provide project management support, assisting with timelines, task delegation, and tracking progress
    • Coordinate meeting preparation, setting agendas, taking notes, and distributing follow-ups
    • Conduct research and gather data to support informed decision-making
    • Manage tasks and priorities, ensuring smooth operations and timely completion of key responsibilities

Success Driver for this role

By effectively managing our CEO’s calendar, email, and administrative tasks, you will free up at least 10% of his time within the first 90 days. This will enable our CEO to focus more on strategic initiatives while you take charge of daily operational responsibilities.

    • You have at least 2 years of experience in personal or executive assistance
    • You have worked in a similar role before, handling a variety of administrative tasks
    • You are proficient in ClickUp, and have strong skills in calendar, email, and project management
    • You are skilled in preparing and organizing documents such as reports, presentations, and meeting materials
    • You have experience coordinating meetings, including setting agendas, taking notes, and distributing follow-ups
    • You are comfortable conducting research and gathering data to support decision-making and planning
    • You excel at managing tasks and priorities, ensuring smooth operations and timely completion of responsibilities

Overview of Our Interview Process

  1. Invitation to Test Gorilla Assessment - If you pass the resume screening, you will be invited to take a 20 - minute written examination to help us assess your fitness to the role and our team. Please note that passing this stage is crucial to move forward to the hiring process.
  2. Initial Interview- Our Recruiter will reach out to you to discuss the next steps.
  3. Culture Fit Interview - If you progress, you'll have a 15-minute conversation with our HR Manager to assess cultural fit.
  4. Meet with the CEO
  5. Offer Discussion - If all goes well, we'll discuss the offer and invite you to our pre-onboarding process.
  6. Pre-Onboarding Process
    1. Background Check: Verification of your identification and declared address.
    2. Reference Check: We’ll contact your three references for their feedback.
  7. Onboarding: Once all checks are completed, we’ll initiate the onboarding process.
