Job description

Client Tax Resolution Specialist

Full Time Monday to Friday | 3pm to 11pm

Position Summary:
We are seeking a detail-oriented and proactive Tax Resolution Specialist to join our team. In this role, you will serve as the primary point of contact for resolving complex payroll tax discrepancies on behalf of our clients. From analyzing historical tax records to negotiating with government agencies, you will manage cases from start to finish, ensuring timely and effective solutions. This role requires strong problem-solving, research, and organizational skills, along with excellent communication abilities to support our clients during stressful tax-related situations.

Key Responsibilities:

  • Case Management: Handle client tax resolution tickets, ensuring all cases are managed effectively and resolved within established timelines.
  • Issue Analysis: Review notices from government agencies to identify the nature and extent of payroll tax discrepancies, including underpayments, overpayments, penalties, and accrued interest.
  • Research & Investigation:
    • Conduct in-depth research into historical tax payment records (internal and external).
    • Investigate discrepancies that predate the clients relationship with the company.
    • Leverage online resources, historical files, and agency contacts to gather relevant information.
  • Client Communication: Act as the primary liaison with clients to collect necessary documentation, provide updates on case progress, and clearly communicate resolution strategies.
  • Agency Negotiations:
    • Contact government agencies to clarify issues, gather additional details, and negotiate penalties and interest reductions on behalf of clients.
    • Advocate for clients by demonstrating compliance efforts and resolving outstanding issues.
  • Process Adherence: Follow established procedures for resolving tax discrepancies while identifying areas for improvement in workflows.
  • Documentation: Maintain detailed and accurate case records, updating ticket statuses as new information is received and progress is made.
  • Compliance Support: Ensure all resolved issues are reflected in current and future tax filings, making necessary adjustments to historical payments as required.
  • Follow-Up: Proactively monitor open cases to prevent escalation of penalties and interest, keeping clients and agencies informed of ongoing efforts.

Qualifications:

  • 2+ years of experience in payroll tax compliance, tax resolution, or a similar field.
  • Strong understanding of payroll tax regulations at federal, state, and local levels.
  • Proven ability to manage and resolve complex tax issues under tight deadlines.
  • Exceptional research and analytical skills with meticulous attention to detail.
  • Excellent verbal and written communication skills, including the ability to explain complex tax issues to non-experts.
  • Proficiency in relevant software tools, such as payroll systems, tax platforms, and ticketing systems.
  • Strong negotiation skills to effectively liaise with government agencies.
  • Ability to multitask and prioritize in a fast-paced, deadline-driven environment.

Key Competencies:

  • Problem-solving mindset with the ability to think critically and resolve issues efficiently.
  • High level of integrity and discretion in handling sensitive financial information.
  • Strong organizational skills with the ability to manage multiple cases simultaneously.
  • Team player with the ability to collaborate across departments.
