Overview:

Executive Assistant provides high-level, confidential administrative support to the Executive Leadership team. This individual must be professional, organized, and a problem solver allowing the Executives to arrive at meetings prepared. This position is often privy to privileged information and as such, requires diplomacy and discretion.

This role requires a team player with the ability to work with the business and - serve as the central hub of the vineyard vines office and leadership team. The Executive Assistant is able to balance high-volume and time-sensitive information and manage multiple action items. The ideal candidate is one who is willing to go above and beyond to proactively anticipate the needs of the Executives, manage changing calendar commitments, and balance work priorities. 

Key Responsibilities:

  • Managing with care in-person and virtually, including greeting and assisting visitors, maintaining professional communication across email and phone, providing leadership and clarification to other sr. leaders, and bringing that extra touch to make all engagements with the Executives appear thoughtful and well-planned 
  • A self-starter with an ability to navigate complex organizational structures, constantly meeting people across the company that help you solve problems, source answers, and anticipate needs
  • Facilitating all meetings so they are seamless - including requesting agenda items from meeting attendees, sharing the agenda ahead of the meeting, arranging virtual and in-person meetings, setting up meetings and presentations, managing participants/timing of the meeting
  • General office tasks, such as preparing and printing reports, presentations, and notes, setting up for meeting rooms, and reordering department supplies
  • Assist with property management of houses, boats and cars
  • Coordinate personal and business travel - inclusive of flights, cars, and accommodations
  • Occasional local errands
  • Assisting in the ordering of daily meals 
  • Assist with vineyard vines orders for family and friends
  • Assist with personal projects on as needed basis
  • Oversight of some vineyard vines headquarters events - inclusive of activity planning (happy hours, BBQs, holiday party, team building outings, etc.) 
  • Store Prop Support - research and present ideas of store props based on the taste level of the Co-Founders 
  • Email/Contact/Calendar Management - assist with scheduling, correspondence and contact organization
  • Physical Office Management - organization, cleanliness, and stocking items
  • Guest/Client Hospitality- greet and welcome guests, set up meetings
  • Follow up on appointments – through correspondence, gifted items, etc.
  • Maintain stock of in promotional items and send out as needed
  • Assist FOVV (friends of vineyard vines) with promotional orders
  • Assist with phone calls and checking voice mail
  • Completing and maintaining expense Reports
  • Maintain calendar of usage and service regarding company fleet of vehicles
  • Take on ad-hoc projects as needed

What you bring:

  • The right candidate is motivated, personable, detail-oriented, and able to multitask in a fast-paced environment
  • The role requires someone who can maintain composure in a fast-paced setting, juggling a high number of internal and external requests and prioritizing appropriately.
  • Executive professional presence
  • 5+ years of recent, full-time administrative/executive support, reporting to one or more executives
  • Must be extremely adaptable to the ever-changing needs of a growing retail company
  • Highly proficient in Google Apps, particularly Google Calendar, and Google Docs -, excel
  • Proven ability to drive projects forward while simultaneously multitasking in an environment with shifting priorities
  • independent - able to work under little direction and exercise sound judgment when making time sensitive decisions
  • Excellent organizational skills
  • Personable able to work well with all personalities
  • Intellectual curiosity. Desire to learn the business to facilitate thoughtful team support
  • Ability to work out of the Stamford CT office 5 days a week
