Schedule:
  • 40 hours per week, 8 AM to 5 PM New Jersey Time

Job Description

As an Administrative Assistant, you’ll be the linchpin of our daily operations, ensuring seamless client experiences from first contact to ongoing care. You’ll manage complex scheduling systems, handle sensitive communications, and support our clinicians in delivering top-notch mental health services. This role offers a unique opportunity to contribute meaningfully to mental health care while developing your skills in a dynamic, supportive environment. You’ll work alongside a dedicated team, including another remote assistant, fostering a collaborative atmosphere that spans international borders.


  • Masterfully manage appointment scheduling for multiple clinicians using advanced dashboard systems
  • Provide warm, empathetic client communication, serving as the first point of contact for our practice
  • Efficiently process and organize referrals from diverse sources, ensuring smooth client onboarding
  • Perform crucial data entry and light paperwork tasks with meticulous attention to detail
  • Quickly adapt to and proficiently use multiple scheduling and management dashboards
  • Assist in preparing for future Medicaid and Medicare processes, with opportunity for skill growth
  • Collaborate seamlessly with team members to maintain efficient daily operations
  • Uphold strict confidentiality standards and adhere to HIPAA regulations

  • Exceptional verbal communication skills with a clear, empathetic speaking voice
  • Strong organizational abilities and adept time management
  • Proficiency in computer systems with a knack for quickly learning new software
  • Proven experience in customer service or client-facing roles
  • Unwavering commitment to handling sensitive information with discretion
  • Keen attention to detail, especially in data entry and scheduling tasks
  • Adaptability to shifting priorities and capability to juggle multiple tasks
  • Basic understanding of or eagerness to learn mental health terminology
  • Comfort with remote work and ability to maintain a professional home office environment
  • Flexibility to align with EST working hours (8 AM to 5 PM)
