Position Title

Event Program Manager

Salary Range

Event Program Manager, Grade 9, exempt, $71,047.09 - $99,465.92 per fiscal year, commensurate with experience.

Senior Event Program Manager, Grade 11, exempt, $81,341.82 - $113,878.51 per fiscal year, commensurate with experience.

Job Description Summary

Coordinate cross-functional event teams, executing activities of the organization's internal and external events that are compliant with policies and goals of the organization. Plan, monitor and adjust schedule of events, as the organization's demand. Review all event deliverables and requests are met. Monitor the quality-of-service providers, through the performance observed in the events. Build and manage outside vendor relationships to ensure events are successful. Prepare reports on participation in events, with information concerning expenditure, sponsorships, number of days, region, specialties involved.

Essential Duties and Responsibilities

Event Planning & Delivery

  • Plan and deliver events on schedule and within budget, meeting all deadlines and coordinating activities of all other parties involved in the design, development, marketing, vendor management and delivery of the events.
  • Work with teams across the organization to generate new ideas and topics for conferences and events.
  • Develop detailed proposals and project plans that support organizational marketing plans.
  • Work directly with outside vendors including hotels, event spaces, catering, a/v, etc. to ensure all event requirements are met and well executed.
  • Project-manage all cross-collaborative meetings and initiatives for identified programs (i.e., H20, all-staff events, Educators of Excellence, etc.)
  • Support in development of marketing strategy for all assigned events.

Event Operations Management

  • Provide operational support services and sometimes act as a lead of transactional operations area.
  • Develop short-or-medium-term work schedules in order to achieve planned commitments. Recommend additional resources as needed.
  • Manage, monitor, and review the work of a cross-functional events team to ensure that processes and procedures are properly implemented and that the team is achieving defined objectives and standards.
  • Maintain day-to-day contact with business-critical suppliers and respond to complex incidents with suppliers or supplies/services to analyze performance and provide feedback on key supplier management indicators.

Budget & Cost Management

  • Monitor costs, including tracking budgets, valuing completed work, and overseeing supplier payments, to help control costs and ensure value for money.
  • Deliver a budget for an area of the organization or conduct complex analyses on budget progress in other areas of the organization.

Continuous Improvement

  • Identifies new and better ways for organizational events to be successful.
  • Actively encourages and supports others creativity
  • Builds upon and strengthens new solutions in a positive and collaborative manner

Additional Job Description

Required Qualifications

  • Bachelor’s degree in a related field of study AND at least three (3) years of demonstrated experience in marketing event planning, event planning, marketing project management, marketing program management, marketing strategy or other directly related experience
  • OR
  • A combination of post-secondary training, professional education, and related experience equivalent to seven (7) years
  • Project management experience
  • Budget management experience
  • Experience with Customer Relationship Management (CRM) systems
  • Public speaking and presentation experience
  • Valid driver’s license

In addition to the above, the Senior Event Program Manager minimum qualifications include:

  • Bachelor’s degree in a related field of study AND at least five (5) years of demonstrated experience in marketing event planning, event planning, marketing project management, marketing program management, marketing strategy or other directly related experience
  • OR
  • A combination of post-secondary training, professional education, and related experience equivalent to nine (9) years project management experience.

Preferred Qualifications

  • At least five (5) to seven (7) years of demonstrated experience marketing event planning, or other directly related experience
  • Three (3) years of demonstrated project management and coordination experience.

In addition to the above, the Senior Event Program Manager preferred qualifications include:

  • At least seven (7) to nine (9) years of demonstrated experience marketing event planning, or other directly related experience.
  • Five (5) years of demonstrated project management and coordination experience.
