Roles and Responsibilities

  • Order Processing & Management: Handle and process sales orders, ensuring accuracy in data entry and timely fulfillment.
  • Customer Communication: Respond to customer inquiries regarding product availability, order status, and general sales information via phone, email, or other communication channels.
  • Sales Documentation: Prepare and maintain sales-related documents such as contracts, invoices, purchase orders, and quotations.
  • Database Management: Update and maintain the customer database, ensuring all sales leads, contacts, and accounts are accurately recorded and organized.
  • Reporting & Analytics: Generate regular sales reports, including tracking key performance metrics, sales volumes, and customer trends for the sales team and management.
  • Scheduling & Coordination: Coordinate sales team schedules, including setting up client meetings, calls, and presentations.
  • Inventory Monitoring: Assist in tracking product inventory levels and liaise with the supply chain or warehouse team to ensure product availability.
  • CRM System Support: Provide administrative support with Customer Relationship Management (CRM) systems, ensuring data integrity and assisting sales staff with system-related issues.
  • Contract Administration: Review and manage the lifecycle of sales contracts, ensuring they are processed, approved, and archived appropriately.
  • Sales Team Support: Assist the sales team with administrative tasks, such as preparing presentation materials, managing travel arrangements, and handling expense reports.
  • Client Onboarding Assistance: Support new client onboarding by coordinating documentation, scheduling calls, and ensuring a smooth handoff to the sales or account management team.
  • File & Record Keeping: Organize and maintain a well-structured filing system for easy access to client records, contracts, and sales-related documentation.


Qualifications and Skills

  • You currently live in Canada
  • You are legally able to work in Canada
  • No previous working experience in the Canadian Labor Market
  • You are passionate about building a career in Canada
  • 1+ years’ experience as a Sales Support Administrator or similar role in Administration
  • Strong organizational skills, attention to detail, and the ability to manage multiple administrative tasks efficiently.
  • Experience working in a Microsoft environment
  • Strong communication skills, both verbal and written
  • Ability to quickly make decision
