Job description

Work Arrangement: Fully remote

Job Type: Full-time

Salary Range: Up to $1,800 per month, based on experience, with performance-based bonuses

Work Schedule: 40 hours per week, 8:00 am - 4:00 pm or 7:00am - 3:00 pm CST

Locations: Remote, anyone based in the Philippines

About Client:

Our client is a leading expert in home design, renovations, and new construction. They focus on creating functional, aesthetically pleasing homes that align with the unique needs and lifestyles of their clients. Whether it’s a complete home renovation or new construction, their goal is to design spaces that promote well-being and long-term enjoyment.

Key Responsibilities:
1. Executive and Administrative Support
  • Manage executive calendars, schedule meetings, and coordinate travel arrangements.
  • Draft and prepare business documents, presentations, and reports.
  • Handle personal and professional emails, ensuring communication is aligned with the executive’s tone and priorities.
  • Organize executive to-do lists, set reminders, and coordinate client communications.
  • Act as the point of contact between executives and stakeholders.
  • Organize files and tasks in Google Drive; set up meetings, events, and manage team-related thank yous or gift distributions.
2. Operations and Project Management Support
  • Coordinate business projects and track deadlines, ensuring tasks are completed on time.
  • Facilitate communication across teams to support smooth daily operations.
  • Assist with product searches, project organization, and construction estimating processes.
  • Manage project timelines, ensuring subcontractors meet their follow-up deadlines and all urgent items are addressed.
3. Design and Financial Support
  • Support design projects by organizing project information, prepping design boards, and assisting with product sourcing.
  • Help create templates and guidelines for tasks, while maintaining client and project folders.
  • Submit invoices to the bookkeeper and handle financial operations in the absence of key personnel.
  • Assist with tracking and maintaining order timelines to support ongoing residential construction projects.
4. Social Media and Marketing Support
  • Engage with social media, particularly Instagram, to support content creation and audience interaction.
  • Assist in preparing blog posts, award submissions, and other marketing tasks as needed.
  • Collaborate with team members to execute marketing events and provide support for miscellaneous marketing activities.

Requirements

  • Minimum of 3 years of experience in an executive or business support role.
  • Strong organizational and time-management skills with the ability to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency in office software, CRM systems, and project management tools is a plus.
  • Ability to work independently and as part of a team.
  • High level of discretion and confidentiality.
  • Strong problem-solving skills and a proactive approach to tasks.
