Position Focus
Reporting to the Operations Manager, the Financial Asst. will be part of the Dept. of Psychiatry Transaction Team and will be responsible for: providing business process support for multi-step, complex transactions that include, but are not limited to, expense reports, expense reimbursements, supplier invoices, subaward invoices, supplier invoice requests, requisitions, vendor set-ups, purchase orders, journal entries, spend authorizations, professional services & consulting agreements, cash sales, and cash advances. Research and correct erroneous transactions and questionable expenditures. Perform clerical functions incidental to financial and administrative activities. May perform other duties as assigned.
Essential Duties
- Drafts preliminary financial sections of proposals. 2. Reviews all proposals for accuracy, completeness, and compliance to grantor and University requirements and regulations. 3. Monitors, controls, and maintains financial activity of accounts. Ensures expenditures are posted to proper accounts. Identifies, researches, and corrects questionable expenditures. 4. Serves as the principal source of information on financial policies and procedures and financial activity. 5. Reconciles and analyzes financial statements. Prepares standardized and specialized financial reports and analyses. 6. Oversees and instructs support staff. 7. Oversees the maintenance of financial records and files. 8. Assists with the development and implementation of systems and procedures. 9. May calculate weekly payroll for department staff. 10. Performs clerical functions incidental to accounting activities.
Required Education And Experience
Six (6) years of related and demonstrated work experience, four (4) of them in the same job family at the next lower level & a high school level education; or four (4) years of related and demonstrated work experience and an Associate degree; or little or no demonstrated work experience & a Bachelor degree in a related field; or an equivalent combination of demonstrated experience & education.
Required Skill/Ability 1
Demonstrated ability to understand, manage and follow-up with multi-step transactions and processes. Well-developed organizational skills, attention to detail and accuracy. Ability to multi-task and integrate several functions together, remain focused with frequent interruptions and independently prioritize work to meet deadlines.
Required Skill/Ability 2
Demonstrated ability to run and interpret Workday reports. Proficiency in Microsoft Excel, including demonstrated ability to manipulate data and develop financial reports within spreadsheets.
Required Skill/Ability 3
Excellent customer service, written and oral communication skills. Ability to handle sensitive information in a confidential manner.
Required Skill/Ability 4
Excellent attendance and punctuality record required. Highly motivated individual: strong self-starter with proven ability to demonstrate initiative and follow through on assignments.
Preferred Education, Experience And Skills
Bachelor’s degree in a related field and at least four (4) years related and demonstrated work experience. Strong knowledge of Yale financial policies and procedures. Familiarity with Workday Financials.
