Job description

The Executive Talent Specialist will play a key role in supporting our executive recruiting team and contributing to the success of our organization by delivering best-in-class (internal/external) executive candidate and hiring leader experiences. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment.

Interview Scheduling

  • Coordinate all logistics for candidate interviews (phone, virtual and onsite), debriefs and pre-meetings. Communicate details to relevant parties, ensuring an exceptional candidate experience.
  • Arrange travel accommodations for candidates when necessary, including flights, hotels, and transportation and expense reimbursement.
  • Provide white glove service to internal and external candidates, delivering exceptional candidate experience through written and verbal communication. Build a trusted relationship with candidates and provide handholding as necessary throughout the process.
  • Maintain flexibility in schedule to accommodate being the secondary point of contact for all candidates throughout the process.
  • Develop strong relationships with Executive Assistants in all OpCos to streamline scheduling process. Act as ETS point of contact to internal stakeholders for scheduling/rescheduling of interviews, update calls, LDW pre-calls and debriefs, and panel debriefs.
  • Gather feedback, LDW reports, and other materials for 1over1 interview packets. Chase panelists, as necessary, for robust written feedback.

Prepare Offer Letters And Onboarding Requirements

  • Partner with executive recruiters to prepare and send complex offer letters and related offer documents for selected candidates globally.
  • Oversee pre-employment work authorization and required documentation pre-start date.

Requisition Management

  • Post and manage requisitions to ATS, reviewing final posting for accuracy and ensuring candidates formally apply prior to interview panel.

Process Improvement Initiatives And Other Projects

  • Participate in cross-functional projects and initiatives aimed at improving executive recruitment processes and enhancing the candidate experience.

Data Tracking And Reporting

  • Maintain accurate and up-to-date records of candidate information, interview feedback, and hiring status in the ATS, CRM, and internal tracking document.
  • Leverage MS Excel and/or MS Power BI to generate monthly, quarterly, and yearly reports on recruitment metrics and key performance indicators (KPIs) to track progress. Pull data from Qualtrics, LinkedIn Talent Insights, and other third-party vendors to bolster ETS reports delivered to executive leadership.

Administrative Support

  • Process vendor invoices, manage external search firm agreements, coordinate executive assessments, manage post-interview surveys, reconcile candidate expenses, and other related support.
  • Work closely with the VP, ETS team to organize virtual and on-site team events.

Basic Qualifications

  • Proven experience in a recruiting coordination or administrative role, preferably within an executive recruiting or talent acquisition team.
  • Proficiency in CRM software (Thrive), applicant tracking systems (ATS), and MS Office Suite inclusive of Excel, Word, PowerPoint, PowerBI, and Forms)

  • Ability to maintain flexibility in schedule, accommodating multiple time zones to meet the needs of internal stakeholders and external candidates.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with executive-level candidates, hiring managers (VP+), and team members.
  • Ability to maintain confidentiality and handle highly sensitive information with discretion.

The salary range for this position (in local currency) is 45,700.00 - 84,800.00. Base pay offered may vary depending on various factors, including, but not limited to: job-related knowledge; skills; experience; and other eligibility factors such as geographic location.
