Position Overview:

The Operations Coordinator is responsible for managing and optimizing ERP transactions for both inbound and outbound material, ensuring compliance with regulations, overseeing backlog management, and collaborating with international teams and 3PL provider. This role involves handling inventory management, logistics, and planning to ensure efficient operations and timely deliveries. The candidate will also serve as the assigning authority representing HID Mumbai per appropriate regional regulations. This role is primarily office-based with the flexibility for occasional remote work as needed. Other duties may be assigned.

Secure Issuance (SI)
HID's Secure Issuance Business Area:

Duties and Responsibilities include the following. Other duties may be assigned

ERP and Inventory Management:

  • Perform timely execution of ERP transactions related to material movement, including receiving, subinventory transfers, reserving materials for customer orders, and closing transactions upon shipment.

  • Ensure inventory level and transaction history accuracy between FARGO ERP system and 3PL warehouse.

  • Conduct timely audits on shipment receipts and related activities such as QC inspections and MRP label affixing.

  • Collaborate with FARGO Business Unit controllers (BU) to manage inventory and warehouse space utilization.

  • Manage 3PL execution and report on site performance to Key Performance Indicators (KPI).

Regulatory Compliance and Quality Assurance:

  • Ensure imports and exports comply with local, financial, trade, and legal regulations.

  • Responsible for MRP (Max Retail Price) label process and support the 3PL with MRP creation and validation.

  • Provide support for Engineering and Trade compliance with local regulations.

  • Oversee local QA activities, including material inspection, rework, root cause analysis, and corrective actions.

  • Lead ISO and safety compliance for FARGO products in collaboration with 3PL as required.

Logistics and Planning:

  • Oversee the preparation and dispatch of export shipping documentation.

  • Apply ERP/MRP planning and master scheduling concepts to ensure accurate ship dates for standard and RMA orders.

  • Utilize material planning techniques, including BOM drill-down and lead time impact analysis.

  • Collaborate with 3PL to meet customer ship date expectations based on capacity and material availability.

  • Maintain reporting on operational KPIs such as extended lead times and shipments past the Original Promise Date.

  • Coordinate with regional production control teams and the Supply Planner for internal transfers to address demand spikes.

  • Initiate change management for exception-based production in the PLM system.

Cost Efficiency and Process Improvement:

  • Work with 3PL to drive cost efficiency through process improvements.

  • Ensure compliance with customs regulations and handle second-level approvals and responses to customs queries.

  • Excellent communication and collaboration skills to liaise effectively with HID and 3PL.

  • Proven ability to collaborate effectively with international team members and managers, including strong cross-cultural communication skills and the ability to navigate and respect diverse cultural norms and practices.

  • Detail-oriented with strong organizational skills to manage multiple tasks and responsibilities effectively.

  • Ability to work independently or with limited guidance.

  • Meticulous attention to detail to ensure precision in documentation in alignment to local regulations.

  • Ability to adjust work schedule to meet business needs, including determining when to be on-site versus working remotely, and being available occasionally on weekends to support shipment clearance in compliance with customs regulations to avoid penalties and other impacts.

  • Strong analytical skills to maintain and report on operational KPIs.

  • Self-motivated with a proactive approach to identifying opportunities for process improvements and cost-saving initiatives.

Education and/or Experience:

  • Must have a college degree in Supply Chain Management, Logistics, Quality, Business Administration, or a related field or equivalent combination of education. Advanced degrees or relevant certifications (e.g., APICS, CSCP, PMP) would be an advantage.

  • 3-5 years of experience in operations management, supply chain, logistics, or a related field.

  • Experience with ERP/MRP systems (e.g., SAP, Oracle) and familiarity with PLM systems.

  • Knowledge of local financial, environmental and commercial regulations (ex: EPR, BIS, WPC, GST).

  • Preferred experience of ISO Concepts or Management, Audit and audit principles (ISO 9001:2015).

  • Familiarity with customs imports, regulations and concepts of trade compliance.

  • Proven track record in inventory management, including handling excess inventory and warehouse space utilization.

  • Experience working with 3PL providers and managing logistics is preferred.

 

Computer Skills    

  • Proficiency in Microsoft Office Suite, especially Excel, for reporting and data analysis.

  • Familiar with operating systems, such as Windows.

  • Familiar with ERP and PLM systems such as Oracle and Agile preferred.
