Reporting to the Manager of Office Services, the Facilities & O.S. Coordinator will support oversight of operations of PLI’s conference center, Office Services mail center, conference rooms and all service areas throughout the facility. Service areas include coffee pantries, main kitchen, lounge areas, conference rooms, elevator lobbies, and main registration area. The Facilities & O.S. Coordinator will operate following the corresponding responsibilities and task listing that are provided within this job description.

As backup to Office Services team, maintain complete and thorough knowledge of Office Services mail center operations to assist and cover team members when needed.

KEY RESPONSIBILITIES

Facilities: Conference Center needs: Responsibilities related to live programs or Center events shall be considered a priority. The Senior Manager and Assoc. Mgr. of Facilities shall serve to guide in these areas.

  • Upon arrival each day, check lounge, registration desk, and elevator areas to see if items need replenishing or cleaning immediately. Maintain coffee machines, pantries, clean and refill related
  • Ensure that the kitchen is stocked with necessary items for the day’s deliveries e., set wagons for BEO’s, replenish back-up vehicles used for teas, paper goods etc.
  • Communicate updates and/or problems with team members and Facilities Supervisor in a timely
  • Visit conference/shared spaces throughout the facility to ensure cleanliness and well-kept appearance, operating with a “clean as you go” mentality and restocking supplies as
  • Properly break down and clean up after programs, meetings, or events, following appropriate waste management and sanitation techniques.

O.S. Mail Center needs: The Manager of Office Services shall serve to guide in these areas,

  • Receiving, opening, sorting and distributing all mail processes.
  • Collecting and sending out regular mail and shipping packages. Shipments are primarily USPS and FedEx ground packages. Prepare appropriate packaging for shipping.
  • Receiving Incoming Shipments manually. Log tracking numbers, put into stock as needed or directed by Mail Center Supervisor.
  • Distribute office supplies as requested by staff. Ensure requisitions for supplies are quickly dispatched.
  • Prepare internal printed files and create binders with machine. Copy and distribute reports/memos.
  • Perform special clerical assignments as required or as assigned and back up as needed for other Mail Center Assignments.
  • Ensure adequate supply of paper for copy machines & change toners as needed.
  • Make the schedule for mail pick-up at 3:00 p.m. each day.
  • Other duties, as assigned. 
QUALIFICATIONS AND REQUIREMENTS
  • High school diploma, GED or equivalent 1-2 years’ experience is preferred. 
  • 1-2 years’ experience with facilities maintenance and/or hospitality is preferred. 
  • Must have excellent time management and organizational skills. 
  • Basic computer skills desirable. 
  • Available to work nights or weekends, if necessary, to complete special projects. Advance notice will be given when scheduling project work outside of regular business hours.
  • New York Food Handler Certificate is a plus, but not required.

COMPENSATION RANGE FOR THIS POSITION

$24 - $26 per hour

(Exact compensation offer may vary based on the candidate’s job-related skills and work experience.)
