Job Summary:As the Assistant Client Manager / Team leader, you will be responsible for overseeing the clients (tax and accounting), focusing on ensuring the timely and accurate delivery of tax returns, financial statements, and reporting. Additionally, you will be answering all incoming calls, web contact forms, portal messages, and emails. You will be the main communicator for the firm.

Key Responsibilities:

  • Act as team lead, supervising and coordinating year-end projects, software conversions, and training.
  • Ensure the accuracy of client tax returns at final review and delivery, and track paper and electronic filing to taxing authorities.
  • Manage calendars and coordinate meetings for multiple partners/managers.
  • Ensure all deadline and month-end tasks are filed and met within the tax & business services departments.
  • Draft and track all tax engagement letters for the office, using electronic signatures via Ignition and Tax Dome
  • Heavy project management: tracking all tax tasks and reports and communicating with the team to ensure timely processing; supervising monthly projects.
  • Proposed and new client tracking in CRM (Hubspot); new client onboarding - set up in Tax Dome, tax software (Ultra Tax); client portal set up; modified existing clients engagements and tasks.
  • Process and mail yearly tax organizers to clients & roll over all clients for the next tax year in tax software systems.
  • Monthly reports for client billing, past due account collections & tracking accounts receivables.
  • Be the steward of Tax SOPs & Training Checklist; provide training for other team members to ensure constancy among the admin team; assist in software conversion/implementation; assist office staff with software conversion training; office trainer for administrative processes and software.
  • Implement daily huddle Zoom calls with the Tax dept during the busy season for questions and training.
  • Create or update administrative forms and templates for clients or taxing authorities.
  • Manage projects and deliverables for clients to ensure timely completion; coordinate workflow for efficiency; Responsible for efiling all returns, extensions, and FBARs; track & follow up on receipt of authorization forms, and follow up on acceptance/rejection.
  • Provide ongoing support and education to clients and internal support teams via video conferencing, phone, and email.
  • Looks after Clients.

  • Responds quickly to client and prospect communications
  • Sits with the Senior Client Manager on some sales meetings to double back the meeting.
  • Takes all traffic from clients, and returns queries for example.
