About the job
We are seeking a meticulous and detail-oriented Payroll/Billing Specialist who is proficient in utilizing ADP Workforce Now and QuickBooks. Experience with WellSky (ClearCare) platforms would be a plus. This individual will play a crucial role in ensuring accurate and timely payroll processing and billing operations within our organization. The ideal candidate should possess strong analytical skills, a keen eye for detail, and a commitment to maintaining the highest standards of accuracy and efficiency.
Main Responsibilities
1. Payroll Processing:
- Manage end-to-end payroll processing utilizing ADP Workforce Now.
- Ensure accurate calculation and timely distribution of employee salaries,
- bonuses, commissions, and other compensations.
- Verify timekeeping records and resolve any discrepancies in a prompt manner.
- Collaborate with HR and finance teams to ensure compliance with company
- policies and regulatory requirements.
2. Billing Operations:
- Utilize WellSky (ClearCare) platform to generate invoices for services rendered to
- clients.
- Export billing information into Quickbooks.
- Review billing data for accuracy and completeness, addressing any
- discrepancies or issues.
- Coordinate with relevant departments to ensure timely submission and
- processing of invoices.
- Conduct regular audits to ensure billing accuracy and compliance with
- contractual agreements.
3. Data Management and Reporting:
- Maintain accurate employee records, including payroll deductions, tax withholdings, and benefits contributions.
- Generate payroll and billing reports as needed, providing insights and analysis to support decision-making processes.
- Monitor key performance indicators (KPIs) related to payroll and billing efficiency, identifying areas for improvement and implementing solutions.
4. Compliance and Documentation:
- Stay abreast of federal, state, and local regulations governing payroll and billing practices.
- Ensure compliance with tax laws, wage regulations, and industry standards.
- Maintain thorough documentation of payroll and billing processes, procedures, and transactions.
5. Communication and Collaboration:
- Serve as a point of contact for payroll and billing inquiries from employees, clients, and external stakeholders.
- Collaborate closely with cross-functional teams, including HR, finance, and operations, to address issues and streamline processes.
- Provide training and support to staff members on payroll and billing-related matters as needed.

Requirements
- Must have at least 3-5 years of experience in the similar field/ role.
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
- Proven experience in payroll processing and billing operations, preferably in a
- healthcare or service-oriented industry.
- Proficiency in using Quickbooks & Excel is essential.
- Proficiency in using ADP Workforce Now is highly desired but not a requirement.
- Experience with the WellSky (ClearCare) platform is a plus.
- Strong understanding of payroll regulations, tax laws, and compliance requirements.
- Excellent attention to detail and accuracy in data entry and calculations.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with a customer service-oriented approach.
- Ability to work independently with minimal supervision and as part of a team.
