Job Description: 

We are seeking an experienced and highly organized Office Manager to join our team and oversee the smooth operation of the CEO's office. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication and organizational skills. As the Office Manager, you will be responsible for managing a wide range of administrative tasks and supporting the CEO in various capacities.

Responsibilities:

  • Manage the CEO's calendar, schedule appointments, and coordinate meetings, including preparing agendas and taking minutes during meetings.
  • Serve as the primary point of contact for internal and external stakeholders, including clients, partners, and vendors, and ensure a professional and welcoming environment in the CEO's office.
  • Oversee project follow-up activities, including tracking project deadlines, coordinating with team members to ensure timely completion of tasks, and preparing progress reports for the CEO.
  • Allocate tasks to appropriate team members, delegate responsibilities, and ensure tasks are completed on time and according to specified guidelines.
  • Follow up on assigned tasks and projects to ensure they are progressing as planned and provide regular updates to the CEO.
  • Assist in the implementation of company policies and procedures, including communicating updates to staff and ensuring compliance.
  • Prepare and format documents, reports, and presentations for internal and external use, ensuring accuracy and consistency.
  • Coordinate travel arrangements and accommodations for the CEO and other senior executives as needed.
  • Handle confidential and sensitive information with discretion and maintain strict confidentiality at all times.

Requirements:

  • Bachelor's degree in business administration, office management, or a related field preferred.
  • 8-10 years of experience as an Office Manager or Executive Assistant, preferably in a fast-paced corporate environment.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize competing demands effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Proactive and resourceful with a positive attitude and a willingness to take initiative.
  • Experience with minute-taking, project management, and presentation preparation is highly desirable.
