Job Description Summary

The Accounts Payable Analyst is a professional position in the Payment Services Department that assists the AP Manager and others in maintaining a responsible stewardship of University. This position involves various duties such as assisting processors with BuyLU and Banner questions, managing electronic and check payment processing, processing new enrollments in our e-payables program, working to enhance vendor discounts, preparing monthly accruals and estimates for monthly financials, managing visa payables, assisting tax and legal departments as needed, and assisting with other projects as requested. The AP Analyst will work regularly with the accounts payable, procurement department, buyers, vendors, and other internal and external parties with the express goal of maintaining a smooth workflow within the department. **

Essential Functions And Responsibilities**

  • Assist processors and other departments with advanced BuyLU and Banner questions regarding vendor accounts
  • Assist AP Manager in development and maintenance of policies and procedures
  • Process check runs in Banner, review payments for accuracy, analyze and resolve any discrepancies
  • Monitor wire and ACH payments, prepare confirmations in readiness for posting to the general ledger
  • Manage e-payable enrollment process and maintenance of new and existing accounts; analyze and resolve any discrepancies
  • Enhance vendor discounts with increased communication with end-users, buyers, and vendors
  • Analyze discount activity and regularly report findings to AP Manager
  • Prepare for and attend BuyLU meetings in order to resolve any problems or issues
  • Manage and monitor visa payables for changes, edits, new accounts, and missed payments
  • Help legal and tax departments with related research requests and projects
  • Prepare monthly accrual and estimates for the monthly financials, and submit to Accounting for recording in GL
  • Tasks of managing unclaimed property requests, analyze and process void check requests, and process check requests of sensitive or confidential nature
  • Assist AP Manager with any vendor related audit reporting requests or any other special projects as needed. Assist and complete projects that assist the department or other departments. Performs other duties as assigned.
  • Collaborate with internal and external parties to ensure that the full extent of systematic operations is being fully utilized. Analytics of daily tasks for assurance of policies and procedures being fulfilled—the continual overviewing of department functions for continual improvement of the team and operational effectiveness overall.

Qualifications And Credentials

Minimum Qualifications Overall:

  • Proficient with Microsoft Office applications such as Outlook, Excel, and Word
  • Analytical, problem-solving, and excellent interpersonal skills
  • Ability to work both independently and as part of project teams; ability to respond to dynamic and time-sensitive requirements in a professional way.
  • Strong oral and written communication skills are essential for this position
  • Ability to articulate and defend the unique Christian educational mission and vision of Liberty University and its subsidiaries to a wide variety of individuals and groups.
  • Individual must not be in default on any federal student or parent loan

Minimum Qualifications Level I

  • Bachelor’s Degree in Accounting, Finance, or related field
  • Two to four years of Accounts Payable experience, or
  • Equivalent combination of degree and Accounts Payable experience

Preferred Qualifications:

  • Experience with Jaggaer or Ellucian Banner
  • Fluent in Spanish or American Sign Language

Strong organizational skills. Excellent word processing skills including Word, PowerPoint, and Excel. Well-developed supervisory and leadership skills, account receivable skills, and communication and customer relations skills.

Physical and Sensory Abilities

Frequently required to sit for extended periods to perform deskwork or type on a keyboard. Regularly required to hear and speak in order to effectively communicate orally. Occasionally required to stand, walk, and climb stairs to move about the building. Handle materials, reach overhead, kneel or stoop in order to conduct business. Regularly lift 10 or fewer pounds. **

WORKING CONDITIONS**

Work Environment

The working environment in which one will typically perform the essential functions of this position is a climate-controlled office setting behind locked doors, with security cameras, and routine inspections from university police. It is well lighted and the noise level is moderate.

Driving Requirements

Use of one’s personal vehicle is required for travel in the performance of the essential functions of this position. Proof of a valid Virginia driver’s license, an acceptable DMV record, and liability insurance is required.
