Role Overview:
This position follows a hybrid work model, with a mix of remote and in-office work in Budapest.
The HR Operations Specialist role is critical in providing full HR lifecycle administration support both locally within our Hungary office and remotely across our wider business, including but not limited to the EMEA and USA regions.

Key responsibilities include but are not limited to:
Payroll and Benefits
Working collaboratively with the other HR team members and with the outsourced payroll providers, to ensure that our employees are paid accurately and on time each month for various locations, including but not limited to Hungary;
Timely and accurate submission of payroll data to relevant partners;
The collation and appropriate administration of all payroll and benefit related documentation, such as medical certificates, receipts relating to benefits, fit notes etc.;
Accountability for timely receipt and delivery of net pay and payroll reports in line with agreed upon payroll schedules, acquiring relevant approvals internally and storing records in a standardized method;
Accurate reconciliation and validation of data to ensure accuracy of payroll;
Review and distribution of employee payslips where applicable;
Handling payroll and benefit related queries from our employees and the wider HR team;
The timely and compliant administration of benefits for various locations, including but not limited to those in relation to the Cafeteria plan and home travel benefits in Hungary;
Supporting the HR Business Partners’ with administration relating to the renewal of any benefits plans, providing support to employees with administrative questions;
Coordination of new joiner documentation ensuring that our payroll partners receive relevant documentation such as ID and address confirmations in a timely manner;
Responsible for the coordination of all relevant exit papers, ensuring that our exiting employees receive the required documentation in a timely manner;
Providing ‘back-up’ cover for payroll administration across global regions in the event of team holidays, absences etc.;
Additional payroll and benefit related duties as required.
Employee Records
Create and maintain up to date and accurate, electronic and system-based records for employees within various locations;
Create and maintain up to date and accurate hard copy filing, within the Hungarian office, ensuring that the minimal legal requirements for record keeping are met, for example including those in relation to the requirement for ‘wet signatures’;
Create and communicate employment related change letters to employees within various locations, again ensuring that legal requirements are met and that all documentation is stored in the appropriate files;
Ensure that relevant documentation is on file for employees, for example approvals for hiring, right to work documents, contracts of employments, change letters etc.;
Be responsible for the integrity and accuracy of the data within your remit at all times.
Recruitment, Onboarding and New Hire Administration
Create, prepare for review by the HR Business Partners and send offer letters, contracts of employment, benefit summaries etc. to prospective employees;
Effectively ‘onboard’ new hires regarding payroll and system administration, ensuring that all ‘right to work’ documentation is reviewed and shared with payroll providers as applicable in a timely manner;
Manage the completion of pre-hire checks, working with relevant outsourced partners and escalating any alerts to the HR Business Partners as required.
General Administration
Be accountable for the integrity of the data within your remit at all times;
Support with audit requests and other ad-hoc administrative tasks, such as system updates etc.;
Provide references on behalf of employees as required, for example in relation to mortgages, rental, employment etc.;
Be accountable for the administration of annual events such as tax declarations, annual leave reconciliation, updating HR systems with annual public holidays etc.;
Be a key point of contact for employee queries, in particular those related to payroll and benefit processes, monitor the HR query inbox;
Support with visa related administrative tasks as required;
Support with the administration of office engagement initiatives;
Be involved in project work that can help drive continuous improvement within our business;
Any other administrative tasks or duties that can support the wider Global HR team.

Excellent Hungarian and English written and oral communication skills are essential;
High levels of attention to detail;
Proficient in the use of Microsoft Office, especially Excel and Word;
Must be thorough and methodical in approach;
Good client management skills;
Ability to multi-task and prioritize;
Self-directed individual with initiative;
Analytical;
HR administration experience desirable;
Payroll administration experience desirable;
French language is an advantage.
