Job Description:

The Virtual Assistant Manager is responsible for overseeing the daily operations of centralized services assistant manager requirements for a portfolio of assigned properties within ZRS. The Virtual Assistant Manager plays a critical role in improving operational efficiency, reducing costs, and enhancing property operations and client/owner satisfaction. This role must project the image of ZRS corporate philosophy and be a model for other employees as well as others in the industry.


The Virtual Assistant Manager should be service-oriented and strive to create a positive experience for the residents. The Virtual Assistant Manager will work closely with the onsite teams and the accounting department.

  • Coordinate and manage the daily operations of a portfolio of properties enrolled in centralized services such as but not limited to, tenant record keeping, accounts receivable, move out and bad debt collection processes and various other administrative tasks related to effective bookkeeping for property management at a central level.

  • Contribute to the development and implementation of standard operating procedures (SOPs) for centralized services to ensure consistency, efficiency, and quality across the organization.

  • Works with property staff and accounting department to ensure all rent is collected as due and that all revenue data is posted correctly in accounting system.

  • Manages preparation of all resident correspondence related to payments, balance dues, past collection and vacating procedure notices.

  • Works with the Property Manager to execute unlawful detainers and 3 Day Notices as required.

  • Produces monthly resident delinquency reports and weekly notes.

  • Assist Property Manager to complete monthly financial activity reports.

  • Ensures all resident move-out and other receivable data is entered correctly and in a timely manner into the on-site property management software system.

  • Prepare for and participate in regularly scheduled touchpoint calls to review performance and status of individual properties within portfolio. These meetings will be hosted by the centralized team and led by the Virtual Assistant Manager for property managers and onsite team as deemed necessary.

  • Coordinate and participate in regular meetings with internal centralized associates to review service performance, address concerns, and discuss ongoing initiatives.

  • Conduct all business in accordance with company policies and procedures, Fair Housing, ADA, Fair Credit Reporting Act and all other Federal, State and Local laws pertaining to Multi-Family Housing.

  • Contribute to the innovation of new products and processes.

  • Complete all trainings assigned within provided time frame.

  • Any other duties assigned.

SKILLS and ABILITIES:

  • Demonstrate the ability to work independently and effectively in a remote environment
  • Possess strong communication skills, both written and verbal
  • Strong time management skills, with the ability to prioritize tasks and meet deadlines in fast-paced environments
  • Possess phone skills, including familiarity with complex or multi-line phone systems
  • Proficient computer skills with the ability to learn new software
  • Strong attention to detail and organizational skills
  • Possess knowledge of business practices and principles
  • Ability to analyze complex situations, identify potential issues, and develop effective solutions in a timely manner
  • Work cooperatively and in a teamwork environment
  • Respect and maintain confidentiality

QUALIFICATIONS
Minimum one-year multifamily property management experience preferred. High school diploma or equivalent.
