Job description

At CovertSwarm, we believe in fostering a positive, inclusive, and supportive environment where everyone can thrive. As a remote-first company, we embrace flexibility, trust, and collaboration. Being based in South Wales would be an advantage and allow you to spend 1 day a week meeting with the Head of People and Culture in Cardiff, or alternatively if you are further afield, meeting in our London office. We are committed to developing our team and helping them grow. If you're passionate about people, culture, and HR, and want to be part of a dynamic team, this is the role for you!

Key Responsibilities:

  • Recruitment Support: Play a key role in attracting talent—help manage job postings, review resumes, and schedule interviews. You'll keep communication flowing with candidates, ensuring a smooth and welcoming hiring experience.
  • Onboarding & Offboarding: Lead the onboarding process for new hires, including preparing contracts, gathering documentation, and coordinating initial training. For employees transitioning out, you'll manage the offboarding process with care and professionalism.
  • People Records Management: Keep employee records up-to-date and compliant with data protection regulations. You'll ensure all records are securely maintained and accessible when needed.
  • People Documentation: Provide administrative support by preparing HR-related documents, including contracts, performance reviews, and leave records, ensuring everything stays organized and compliant.
  • Employee Benefits Administration: Help manage employee benefits, including health insurance, pension plans, and other perks, ensuring that everyone has the information they need to make the most of their benefits.
  • Payroll Support: Assist with payroll data collection, ensuring accurate attendance, timesheets, and leave records.
  • People and Culture Compliance: Work with the People and Culture team to ensure compliance with employment laws and internal policies, assisting with audits and staying ahead of any regulatory changes.
  • Training and Development: Help coordinate training programs that foster growth and development within the team, tracking progress and maintaining training records.
  • General People and Culture Assistance: Provide administrative support across the People and Culture function, such as scheduling meetings and assisting with internal projects. You'll enjoy the variety of tasks and the opportunity to make an impact.

What We’re Looking For:

  • Education: A degree in Human Resources, Business Administration, or a related field (or equivalent experience).

    • Strong organizational and time management skills.
    • Excellent written and verbal communication abilities.
    • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
    • Familiarity with HR software (HRIS, payroll systems) is a plus.
    • Knowledge of employment laws and HR best practices.
    • Ability to handle confidential information with discretion.

What Makes You a Great Fit:

  • You’re detail-oriented and can manage multiple tasks with ease.
  • You thrive in a remote-first environment and enjoy collaborating with a diverse team.
  • You’re proactive, self-motivated, and excited to take ownership of projects that contribute to a positive and inclusive culture.
