Job description

Position Title: Volunteer Services Coordinator 

Location: Remote Position 

Position Type: Full-time/Part-time

Overview: Operation HOPE is seeking a dedicated and detail-oriented Administrative Support staff to join our Volunteer Services department. This position plays a crucial role in providing general administrative assistance and coordination to support the recruitment, onboarding, and engagement of volunteers across various programs and initiatives of the organization. The ideal candidate will be highly organized, customer-focused, and passionate about supporting volunteers in their efforts to make a difference in our community.

Responsibilities:

Database and Systems Management (50%)

  • Maintain accurate and up-to-date volunteer database records, tracking volunteer hours, activities, and contributions for reporting and recognition purposes.
  • Assist with the management of systems used for recruitment, intake, and screening of volunteers, including processing volunteer applications, conducting background checks, and maintaining volunteer records in the database.
  • Schedule the 1MBB volunteer webinars in Dynamics and ensure all attendance data is updated.
  • Supporting the set up and maintenance of the Volunteer Registration Tool for youth and HOPE Global Forum events.
  • Work with Volunteer Services to define and implement a tracking and reporting process for Volunteer Needs Assessment.
  • Pull reports and monitor data to share with respective team members to implement ongoing communications, engagement and recognition efforts.

 Volunteer Communications, Relationship and Engagement (40%)

  • Provide frontline support to volunteers, responding to HOPE Corps inquiries, requests, and concerns via phone, email, and in-person interactions.
  • Work with SVP to distribute communications, newsletters, and updates to volunteers regarding upcoming opportunities, events, and organizational news.
  • Assist with the implementation of volunteer recognition and appreciation initiatives, including coordinating special events, awards, and certificates.

Administrative Support (10%) 

 

  • Support the Volunteer Services team with administrative tasks.
  • Participate in staff meetings, trainings, and professional development opportunities as required.
  • Engage volunteers to implement duties and tasks. 

Qualifications:

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Minimum of 5 years of nonprofit experience, preferably in the Volunteer Services department.
  • Experience with volunteer management systems or CRM is preferred. Strong ability to learn new systems. 
  • Strong organizational skills with the ability to multitask, prioritize, and manage time effectively in a fast-paced setting.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach to working with volunteers, staff, and external partners.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database management systems; experience with volunteer management software a plus.
  • Attention to detail and accuracy in data entry, record-keeping, and documentation.
  • Ability to work independently with minimal supervision and collaboratively within a team environment.
  • Commitment to the mission and values of Operation HOPE.
