Role and Responsibilities
Develop and Implement Programs:
- Implement and support U.S. and global benefits and wellbeing programs, ensuring regulatory compliance, vendor coordination, and clear communication of options to employees.
- Collaborate on health and welfare plan renewals, including setting premiums and managing open enrollments, including material preparation and system testing.
- Partner with Global HR to implement locally competitive benefits aligned with Kyriba’s strategy, leveraging global broker relationships for support.
Financial Management and Evaluation:
- Manage monthly bill reconciliation for accurate, timely payments, including third-party billing and collaborating with finance on reports, including the monitoring of administrative costs of benefits programs.
- Assist in verifying and reconciling regional budgeted funds, initiating monthly reconciliation of benefit plan deductions by correcting discrepancies between HRIS and vendor systems.
Administration and Compliance:
- Manage the day-to-day administration of U.S. and global benefits programs, including health and welfare, retirement/pension plans, wellness programs, leave of absence administration, and time-off policies, ensuring compliance with regulations.
- Maintain accurate processing of enrollments, terminations, and changes in Workday and other systems.
- Oversee leave programs like Leave of Absence, Disability, FMLA, arrears, retroactive adjustments, 401(k), and pension plans.
- Foster cross-functional relationships with payroll, finance, legal, and HR to ensure smooth benefits administration, collaborating with IT and other departments to streamline service delivery.
Employee Support and Communication:
- Serve as the primary daily contact for employee benefits, addressing inquiries, offering guidance, resolving issues, coordinating with local HR for solutions, and collaborating with vendors on claims and issue resolution.
- Conduct training, host Benefits New Hire Orientation with HR teams and provide resources to ensure consistent and accurate benefits administration.
- Develop and execute a benefits communications strategy with HR, Legal, and Corporate Communications, delivering compelling content to help employees appreciate the benefits program.
Data Management and Coordination:
- Maintain benefits records in HRIS (Workday) and collaborate with payroll to ensure accurate deductions and contributions. Manage leave of absence programs and coordinate with internal departments for seamless benefits administration.
- Update and maintain the HRIS systems; this includes ensuring that file feeds from the HRIS systems to the correct vendors are working properly, maintaining data integrity in the HRIS database through daily maintenance of carrier files, resolving data errors, and updating data.
Vendor and Broker Management:
- Management of benefits providers to maximize service levels for plan management and participants while ensuring execution of our contract terms and conditions. In partnership with the internal procurement team.
Strategic Planning and Innovation:
- Evaluate daily performance and trends of U.S. self-funded and fully insured medical and dental plans, providing actionable insights and solutions. Utilize extensive self-funding expertise in U.S. plan analytics and reporting to optimize benefits programs.
Regulatory and Compliance Oversight:
- Coordinate with legal counsel to ensure compliance with international benefits regulations, oversee annual audits and stay informed on relevant laws.
- Conduct weekly audits of error and termination reports to maintain data integrity and manage costs.
- Ensure benefits programs comply with federal, state, and local regulations across countries, covering tax, labor, and healthcare laws.
- Oversee annual plan audits, testing, compliance filings, and employee communications, including 1095, 5500 filings, NDT testing, Medicare mailings, and state filings.
Qualifications, Skills and Education Requirements
- Experience: Over 8 years in Global and U.S. Benefits design and administration, ideally in a fast-paced tech environment, with extensive knowledge of U.S. benefits, with a concentration in self-funding, stop loss, benefits laws, regulations, and LOA programs.
- Project & Time Management a must: Strong organizational skills to manage multiple assignments and prioritize projects in a fast-paced environment, with effective time management to meet deadlines autonomously.
- Analytical Skills: Ability to leverage data-driven insights for business decisions, diagnose problems, and solve complex issues through research and analysis.
- Relationship Management: Skilled at building and maintaining relationships across all internal and external organizational levels, with a team-oriented approach.
- Independence & Initiative: Capable of working independently with a goal-driven sense of urgency and customer responsiveness to consistently meet or exceed deadlines.
- Technical Proficiency: Extensive experience with Workday, benefits administration software, and expert-level Excel skills. Proficient in Microsoft Office and managing benefits data and employee inquiries.
- Communication Skills: Excellent communication and interpersonal skills to interact, communicate, and influence others across different cultures and hierarchical levels.
- Attention to Detail: Exceptional accuracy in managing benefits data and administration.
- Problem-Solving: Strong analytical and problem-solving skills to address complex benefit-related issues, with the ability to research and resolve employee inquiries.
- Education: Bachelor’s degree in Business Administration or related HR discipline, with CEBS, PHR, SPHR, SHRM-CP, or SHRM-SCP preferred.
- Global Perspective: Comprehensive understanding of the global employee benefits landscape, including extensive knowledge of benefits laws, local regulations and industry best practices, with the ability to navigate cross-cultural environments. Recognition of and sensitivity to cultural differences.
- Data Analysis: Proficient in data analysis and reporting to track (including but not limited to; self-funded and fully insured) benefit utilization, analytics, claims utilization, stop loss and identify trends.
- Creativity & Innovation: Ability to exhibit creativity and innovation in developing and managing benefits programs. We are for someone who is driven by delivering people-first programs.

This position reports to the Global Benefits and Wellness Leader and plays a crucial role in the HR | Benefits team's success. We seek an individual with a robust background in benefits and wellness, particularly with extensive U.S. experience and strong global knowledge. The ideal candidate must manage multiple assignments simultaneously, possess strong organizational skills, and effectively prioritize and oversee projects in a fast-paced, dynamic environment. Effective time management and the ability to meet deadlines with minimal supervision are essential, along with strong organizational and project management capabilities.
Base compensation for this role is: $110,800.00 - $152,500.00 annual salary. In addition to the base pay this position includes a variable compensation. The role might also be potentially eligible to long term Incentive. The final package may vary and will be determined by various factors including candidate profile and ideal qualifications as well as specific cost of living circumstances in some specific locations.
