Job description

We are looking for a Senior Operations Specialist to join our Company Operations team. You will report to the Director of Company Operations. 

The Senior Company Operations Specialist is responsible for driving strategic initiatives, ensuring operational efficiency, overseeing reporting, and supporting the company's long-term growth. This role requires close collaboration with all members of the Company Operations team, key stakeholders, and executives across other departments.

You Will:
  • Serve as the primary lead for critical company tools (e.g., JIRA) that support complex, cross-functional workflows
  • Developing and overseeing the tooling strategy and roadmap to ensure alignment with evolving business needs and goals
  • Acting as the primary systems expert and administrator for the tool
  • Defining, documenting, and implementing  the tooling configuration and functional use cases based on organizational workflows
  • Leading the implementation, customization, and user enablement of the tool to maximize utilization
  • Drive alignment with functional stakeholders to define requirements and success criteria for complex, cross-functional initiatives/projects that will optimize our systems and processes
  • Facilitate strategic decision-making with executives and across departments to prioritize operational initiatives and projects for successful implementation
  • Drive the execution of strategic initiatives/projects to achieve success criteria by collaborating with consultants and internal stakeholders
  • Apply systems thinking to analyze existing operational systems, tools, and processes to identify inefficiencies and interdependencies and implement improvements to optimize workflows and enhance overall effectiveness
  • Collaborate with the Director, Company Operations to prioritize, define, execute, and track operational initiatives and organizational changes
  • Build and maintain strong relationships with functional leaders and executives across the organization to align on priorities, secure buy-in, and ensure operational challenges are addressed effectively
  • Contribute to the development of best practices for change management and communication strategies to ensure the successful adoption of new systems, processes, and initiatives
  • Cultivate a strong understanding and passion for AI to drive the exploration, evaluation, and implementation of innovative solutions
  • Provide project management and strategic operations support to drive the successful execution of cross-functional initiatives as needed

  • You Have:
  • 5+ years of progressive experience in operations, program management, or a related role, ideally within technology, SaaS, or a high-growth industry
  • Proven track record of collaborating with and influencing Cross-Functional stakeholders, Senior Executives, and C-Suite leaders
  • Exceptional written and verbal communication skills, with the ability to convey complex information effectively to diverse audiences
  • Demonstrated success in leading large-scale, high-impact cross-functional initiatives and delivering impactful business outcomes
  • Demonstrated ability to thrive in ambiguous and dynamic environments, effectively prioritizing competing demands and consistently delivering results
  • Strong analytical skills with attention to detail and a focus on operational excellence
  • Proficiency in Product & Agile Project Management tools: Aha, Dovetail, JIRA  or similar 
  • Familiarity with project management processes, tracking, and experience implementing process improvements
  • Strong organizational and strategic thinking skills with a passion for fostering efficiency and scalability
