We are looking for an organized and proactive Administrative Assistant to support the daily operations of an office environment. The ideal candidate for this role should be able to handle a wide range of administrative tasks, including managing supplies, coordinating bookings, and providing customer service. This role is critical for ensuring the smooth operation of administrative functions across various departments.
General Admin:
Handle supply requests from Pilots either referring on to another person or ordering equipment online/through phone.
Follow up pilots on tasks assigned.
Book accommodation for pilots travelling out of area.
Assist with yearly Insurance renewals.
Complete registrations for member platforms / accreditations. For example, Australian Tourism
Accreditation Standards and Parks and Wildlife.
Order fuel for Kalbarri.
Audit & Compliance:
Ensure compliance documents have been submitted by pilots e.g. weather reports.
Follow up continuous improvement and hazard reports.
Audit registers and programs. E.g. History Log and hazard register.
Monitor Pilot expiry dates.
Create Pilot Files / Pilot onboarding.
Book company cars in for service.
File maintenance release documents.
Monitor emergency equipment due dates. For example, Life Jackets, Life Rafts.
Bookings & Inquiries:
Handle flight bookings via phone, email, and online platforms.
Provide information on scenic flights, private charters, and pricing.
Respond to customer inquiries in a professional and friendly manner.
Process payments for bookings and merchandise.
Issue Resolution & Cancellations:
Manage booking amendments and cancelations.
Address customer complaints or concerns, escalating when necessary.
Customer Follow-Ups:
Send booking confirmations and pre-flight information.
Follow up with customers post-flight for feedback and potential reviews.
General Admin Duties:
Answer and direct phone calls and emails.
Maintain and update records in the booking system.
Staff & Management Support:
Assist with scheduling and rostering updates.
Keep track of office supplies and place orders when needed.
Website & Social Media Assistance (if applicable):
Update booking availability on Rezdy.
Basic IT Support:
Troubleshoot minor issues with booking software or email systems.
Liaise with IT support for any major technical problems.
Accounts Payable/Receivable and Marketing:
Manage both AP/AR functions and contribute to marketing efforts across various platforms.
Social Media Management:
Utilize Social Bee for social media posting and preparation to maintain a strong online presence.
Content Creation for Finance:
Develop and publish blogs focused on finance-related topics for the company.
Content Creation for Aviation Marketing:
Create and publish blogs highlighting marketing strategies and insights specific to the aviation industry.
LinkedIn Management for Finance:
Manage and maintain the company's LinkedIn presence, focusing on finance-related content and engagement.
Customer Service and Sales:
Provide exceptional customer service while selling flights over the phone, combining marketing skills with customer interaction.
Requirements
Requirements/Skills Needed:
3+ years of related experience in administrative roles, preferably in a fast-paced environment.
Strong Communication Skills – Excellent verbal and written communication abilities to interact with team members effectively, clients, and stakeholders.
Time Management – Ability to prioritize tasks, meet deadlines, and efficiently manage workload.
Good AI Knowledge – Familiarity with AI tools and applications to enhance productivity and streamline administrative tasks.
Tech-Savvy – Proficiency in office software (e.g., Microsoft Office, Google Workspace) and adaptability to new technologies.
High Attention to Detail – Strong focus on accuracy, ensuring tasks are completed with precision and minimal errors.
Positive Personality – Professional, proactive, and team-oriented attitude with strong interpersonal skills.
