The Contracts Administrator & Estimator plays a pivotal role in both pre-construction and project delivery, managing accurate estimations, efficient contract administration, and effective communication with stakeholders. This role offers an exciting opportunity to work autonomously while contributing directly to Ontrio Projects’ success. For the right candidate, it provides a long-term position and pathway to grow into a leadership position, shaping the future of fitout delivery in an environment that values innovation, collaboration, and professional growth.
Estimating
Lead detailed estimation take-offs and create a Bill of Quantities (BOQ) for materials and labour based on the provided interior architectural drawings. Comprehensively understanding the documentation set, construction details and associated materials.
Seek quotes from our existing team of contractors whilst proactively seeking to grow our contractor team within an allocated timeframe and prepare a cost comparison for the packaged works i.e. electrical, plaster, painting, tiling, joinery, glazing, etc.
Compile costs from various team and lead costing discussion with management in preparation to the tender submissions aligned to the deadline.
Prepare a tender submission which will then be issued directly to the client.
Maintain an up-to-date cost database aligned to latest market pricing, supporting future estimations.
Identify value engineering/optimisation opportunities, balancing client budgets with quality outcomes to provide additional cost saving options.
Contracts Administration
Assist in comparing quotes, negotiating, awarding contracts to teams. Awarding contracts to successful teams and attaining necessary up to date documents (contractor licenses, workers compensation insurances, etc).
Work closely with Site Manager to monitor project budgets, ensuring timely progress claims, variations, and final accounts which will be issued by Accounts team.
Oversee compliance requirements and ensure all approvals and documentation from Building Management are in place before project commencement.
Act as the main point of contact for all contractual communications with suppliers and support Site Manager.
Stakeholder Coordination
Ensure prompt and professional communication with all stakeholders, managing expectations effectively.
Support the project team by tracking deliverables, schedules, and milestones.
Proactively identify risks or challenges, implementing solutions to maintain project momentum.

Qualifications in construction management, quantity surveying, or a related field (preferred)
