Position Overview

We are looking for a detail-oriented and proactive Healthcare Administrative Assistant to manage scheduling, patient intake, and administrative tasks for a busy telehealth practice. The ideal candidate will have experience in medical office administration, strong organizational skills, and excellent communication abilities.

Key Responsibilities
  • Become proficient in Practice Better by watching all training videos and continuously improving workflow efficiency.
  • Optimize and manage the healthcare provider’s schedule for maximum efficiency.
  • Handle patient intake by collecting and verifying patient information, insurance details, and consent forms.
  • Send appointment reminders via text, email, and phone calls.
  • Process appointment requests and accurately update the provider’s calendar.
  • Assist with virtual check-ins and ensure all required documentation is complete.
  • Provide outstanding customer service and address patient inquiries professionally.
  • Manage a daily patient load of 4 to 8 appointments, including both pre-scheduled and same-day requests.
  • Utilize scheduling tools and EMR systems to ensure seamless operations.
  • Maintain open communication with the healthcare provider throughout the day.
  • Adapt to the evolving needs of a growing telehealth practice.
Basic Qualifications
  • Previous experience in medical office administration or customer service in a healthcare setting.
  • Familiarity with Practice Better EHR.
  • Proficiency in Microsoft Word, Canva, Google Calendar, and Gmail.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to maintain patient confidentiality and adhere to HIPAA regulations.
  • Bachelor’s degree in a healthcare-related field (preferred, but not required).
  • Availability for occasional Saturday hours (optional, based on candidate availability).
  • Fluency in English.
Basic Requirements
  • Must be proficient in speaking and writing English very clearly.
  • Must have relevant work experience.
  • Be able to submit an NBI clearance or Local Police Clearance background check if requested.
  • Must be available for video meetings with the camera on.
  • Must not have other clients during required work hours.
Technical Requirements
  • Device: Reliable laptop or desktop computer.
  • Internet: High-speed connection (minimum 10 Mbps).
  • Audio: Noise-canceling headset.
  • Video: Webcam for virtual meetings.
  • Workspace: Quiet, professional environment.
