Job description

Job Summary
The Vendor Management Specialist is primarily responsible for developing sourcing strategies to attract and retain qualified contractors while maintaining the vendor database and ensuring that the required information for active and approved vendors is current, complete, and accessible to the production teams. In addition, the Vendor Management Specialist will facilitate vendor communications, maintaining cordial relationships, provide contractor-related support to other departments, and represent CETRA and the CETRA brand at recruiting and other events, and in all communications with the contractors.

CETRA's Head office is in Elkins Park, PA close to Philadelphia however, this opportunity allows remote work.

Essential Duties and Responsibilities
 
1. Develops and carries out recruiting strategies in line with CETRA’s strategic plan to recruit freelance translators and interpreters in desired language combinations and regions according to the guidelines provided by Global Talent Acquisition Manager.
a. Performs research, using a variety of media (social media/networks, professional associations,
job boards, etc.) to locate desirable candidates.
b. Contacts contractors located through research and responds to those who contact us directly.
c. Screens all applicants and evaluates/approves them based on experience, education, expertise
credentials and location.
d. Assists contractors with the registration process, as needed.
e. Negotiates rates and terms to remain attractive to appropriately skilled vendors while maintaining desirable profit margins.
f. Update the contractor database and files as required by CETRA’s standards.
2. Maintains contractor database and files with current and complete information.
a. Follows established processes for maintaining files, databases and portals.
b. Fosters and maintains positive relationships with active contractors and ensures that all information (particularly negotiated rates and availability) is up to date.
c. Ensures that all required documents and contractor agreements are completed for approved contractors who are assigned to projects.
d. Ensures that all regulatory requirements are met (such as W-9 forms for US-based contractors)
e. Assists Accounting Manager with contractor-related filings (such as 1099 forms for US-based contractors)
3. Assists the production and marketing teams with contractor selection and communications.
a. Recommends appropriate contractors to the production teams and assists in assigning
resources for projects.
b. Recruits new contractors if existing resources are insufficient.
c. Assists in assembling required contractor materials for proposals and bids.
4. Research contractor rates to establish pricing and profit margins in specific geographic regions, language pairs, and vertical markets under the supervision of Manager.
5. With management support, tracks growth of contractor database vs. growth of demand for contractors and sets targets for recruitment based on projected needs.
 6. Attends conferences and other events and participates in online forums to recruit and connect with contractors and keep abreast of the industry.
 7. Performs other duties as directed.

Minimum Qualifications
This job requires a Bachelor’s degree plus at least one year experience in recruitment or vendor management, or an equivalent combination of education and experience.
Minimum 6 months experience in Language/Localization Industry with recruiting or vendor sourcing responsibilities.
Key job characteristics include proven data entry skills for both speed and accuracy, superior written and oral communication skills, and solid knowledge of MS Office programs. In addition, excellent organizational skills, strong customer service mentality, and the ability to work both independently and as a member of a team are required. The Vendor Assistant must demonstrate a positive attitude, the flexibility to work under changing priorities, and the aptitude to quickly learn new software applications.


Physical Demands and Working Conditions
Normal office environment. Occasional travel for recruitment activities and some attendance at events outside of normal working hours.
