Job Title: Client Operations Specialist
Location:
Remote (EST Time Zone)
Salary Range:
up to 2200 USD

Work Schedule:
Monday - Friday, 9:00 AM to 5:00 PM (EST)

Position Overview:

The Client Operations Specialist plays a key role in managing client relationships, ensuring smooth project execution, and optimizing internal workflows. This role requires a proactive professional with strong organizational skills, excellent communication abilities, and the ability to manage multiple projects simultaneously.

Key Responsibilities:

Project Coordination:

  • Develop and maintain project timelines, ensuring deadlines are met.
  • Assign tasks to team members using project management tools (e.g., Basecamp, Asana, Trello).
  • Monitor progress and identify potential bottlenecks before they escalate.


Client Communication & Support:

  • Serve as the main point of contact for clients, providing updates and gathering feedback.
  • Coordinate check-ins, status reports, and review meetings to ensure alignment and client satisfaction.
  • Address client inquiries and resolve any issues promptly and professionally.


Administrative Support:

  • Schedule meetings, prepare reports, and manage project documentation.
  • Maintain client records and organize files using Google Drive and other tools.
  • Ensure all documents are accurate, up to date, and easily accessible.


Internal Operations Management:

  • Collaborate with cross-functional teams (e.g., marketing, finance, creative) to ensure smooth handoffs.
  • Keep stakeholders informed of project status, resource availability, and key milestones.
  • Help standardize processes and create SOPs (Standard Operating Procedures) for efficient workflows.


Tool & Platform Utilization:

  • Use Slack for team collaboration and updates.
  • Manage projects and deadlines in Basecamp (or similar project management software).
  • Maintain accurate records in Google Workspace (Docs, Sheets, Slides) for reporting and documentation.


Quality Control & Reporting:

  • Review work deliverables to ensure they meet client expectations and company standards.
  • Track KPIs related to project completion, client satisfaction, and operational efficiency.
  • Prepare regular reports with insights and recommendations for process improvement.


Qualifications:

  • Strong English communication skills (written and verbal).
  • Experience in project management or client operations.
  • Ability to manage multiple projects with a high level of organization and attention to detail.
  • Proficiency in Basecamp, HubSpot, Miro, Google Drive, Slack, or similar tools.
  • Problem-solving mindset with the ability to anticipate and resolve operational challenges.


Nice-to-Haves:

  • Strong written communication skills.
  • Ability to translate ideas into clear action steps.
  • Experience creating and managing SOPs.
