About the Role

We’re looking for an Administrative Assistant - Speaker & Partner Support, to play a key role in coordinating logistics for our virtual and in-person speakers, ensuring smooth execution of events, and supporting the growth and management of our partner program. This individual will work closely with internal teams, external partners, and speakers to enhance the overall experience and efficiency of our operations.

Here are the primary responsibilities of the Administrative Assistant role, including but not limited to:

Key Responsibilities & Success Metrics
  • Speaker Support:
    • Coordinate logistics for virtual and in-person speaker engagements.
    • Manage speaker scheduling, contracts, and communication.
    • Ensure speakers have the necessary resources, materials, and technology.
    • Provide pre-event and live-event support, troubleshooting issues as needed.
    • Collect feedback and track speaker performance metrics post-event.

  • Partner Program Support:
    • Assist in onboarding new partners, managing agreements, and tracking deliverables.
    • Maintain partner database and ensure accurate records of partnerships.
    • Support marketing efforts for partner-driven initiatives.
    • Act as a liaison between partners and internal teams to facilitate collaboration.
    • Monitor partnership success metrics and provide quarterly reports on engagement.

  • General Administrative Support:
    • Manage calendars, emails, and documents related to speaker and partner programs.
    • Assist with event coordination in relation to speakers and partners, including venue logistics and travel arrangements.
    • Support budget tracking and invoice processing for speakers and partners.
    • Research and recommend new tools or processes to improve efficiency.
Experience and Qualifications
  • Required
    • At least 2 years of experience in an administrative role, ideally within a fast-paced environment.
    • Strong proficiency in Google Suite, especially spreadsheets for tracking events and budgets.
    • Excellent written communication skills in English, with the ability to collaborate across global teams.
    • Quick to learn new tools, systems, and workflows.
    • Demonstrated experience in customer-facing roles, with a high degree of independence.
    • Ability to prioritize tasks, multitask effectively, and work under pressure.
    • C1 or C2 proficiency in English, allowing for effective communication in a global work environment.
    • Comfortable working from home with your own equipment and a reliable internet connection.
  • Preferred
    • Familiarity with virtual event platforms and experience managing events remotely.
    • Experience with SaaS companies is a plus.
    • Knowledge of budget tracking for event logistics and financial oversight.
