Job description

Job Title: Virtual Administrator

Job Overview:

As a Virtual Administrator, you will assist the Operations Manager by handling various administrative tasks, pulling key reports, helping with task conversions, and ensuring smooth operations to support business performance.

Key Responsibilities:

1. Reporting Support

  • Pull and prep weekly time reports and highlight key client issues.
  • Update and manage balance load reports for bookkeeping and tax teams.
  • Prepare reports for meetings with the Chief Executive Council (CEC).
  • Prepare Time under Budget (TUB) reports and analyze discrepancies.
  • Prepare profitability analysis

2. Billing

  • Ensure billing information is accurate and aligned with reports.
  • Help track discrepancies or issues related to billing.

3. International Bokkeeping Team Folder Conversion

  • Help organize and move files for the international bookkeeping team, creating shortcuts for easy access.

4. Assist with Task Conversion in Financial Cents (FC)

  • Convert and manage tasks for both the tax and bookkeeping teams in Financial Cents (FC), our workflow management software.

5. Closing Out Tasks

  • Review and close out tasks with the Operations Manager.
  • Identify and address any delayed or incomplete tasks.

Skills and Qualifications:

  • Strong organizational and time-management skills.
  • Attention to detail and accuracy in reports and tasks.
  • Advanced Excel skills for data management.
  • Strong written and verbal communication skills.
  • Ability to work independently, remotely, and adapt to a fast-paced environment.
  • Previous experience as a Virtual Assistant.
