Compensation Range:

Annual Salary: $56,890.00 - $76,800.00

Position Summary

The Quality Assurance Training & Development Specialist is a strategic role focused on enhancing the skillset and knowledge of all positions related to Federal Student Aid (FSA) across the university. As a subject matter expert, this position identifies, designs, implements, and evaluates training programs tailored to financial aid compliance for Quality Assurance and Student Operations, as well as new employee onboarding and cross-departmental coordination. The Specialist will be responsible for not only creating training content but also delivery coordination and ensuring that new policies and regulatory updates are integrated into all training initiatives. By leveraging technology for scalable training solutions and maintaining strong relationships across departments, this key position plays a pivotal role in driving continuous improvement and mitigating risk across the university.

Essential Functions:

Training Program Development & Delivery:

  • Create, update, and maintain comprehensive training programs on compliance related topics specific to federal and state financial aid regulations, scholarships, student account management and system processes, including a robust onboarding experience for new staff.
  • Serve as the subject matter expert for all financial aid and student finance-related training content, ensuring all training aligns with up-to-date regulations and institutional policies.
  • Partner with the School Certifying Official (SCO) team to support the training and onboarding of new SCOs who will be certifying Veteran Education Benefits
  • Develop and implement cross-training initiatives within the Quality Assurance (QA) team and across Student Operations teams.

Technology & Learning Management:

  • Identify, configure, and leverage technology platforms for creating asynchronous learning modules, including tracking completion to ensure scalable success.
  • Ensure that training modules are accessible and trackable, optimizing learning pathways for staff and improving onboarding, compliance, and skill development.

Regulatory Updates & Policy Review:

  • Provide regulatory-based insights and suggestions for updates to policies and procedures, collaborating with department leads and cross-functional teams to keep staff aligned with current compliance standards.
  • Regularly review and analyze new regulations and share relevant information with departments, ensuring that new information is easily digestible and actionable for staff members.

Feedback & Continuous Improvement:

  • Establish and maintain a system for collecting trainee feedback to measure the effectiveness of training and identify areas for improvement.
  • Review training performance data and reports to assess areas of risk and opportunity for training and development.
  • Adapt programs based on feedback and changing needs.

Cross Department Collaboration:

  • Build and maintain strong relationships across departments, facilitating communication and ensuring staff are well-prepared to effectively administer Federal and State Student Aid.
  • Foster collaboration with various teams (Processing, Academic and Finance Advisors, Student Business Services, etc.) to provide ongoing learning opportunities and solutions based on identified risk and departmental performance.

Remote Training Success:

  • Demonstrated success in developing and delivering training in a remote environment, utilizing virtual tools and platforms to ensure engagement, participation, and skill development for geographically dispersed teams.

Ongoing Professional Development:

  • Continuously seek innovative solutions and ideas to improve training strategies, keeping abreast of trends in financial aid, student services, and training technologies.
  • Work independently and as part of a collaborative team, with the ability to manage frequently changing priorities and meet deadlines in a fast-paced, evolving environment.

Requirements:

Education & Experience:

  • Bachelor’s degree in higher education, business, finance, accounting, or related field.
  • 10 years of progressively responsible experience in FSA administration and compliance.
  • 3-5 years of demonstrated experience developing and delivering training.

Competencies/Technical/Functional Skills:

Subject Matter Expertise:

  • Thorough understanding of FSA regulations, student account management, and institutional processes, with the ability to translate complex information into clear, effective training.
  • Ability to interpret, communicate, and suggest actionable updates to policies and procedures based on regulatory changes.
  • Familiarity with nonterm and subscription-based delivery methods and Veteran’s Education Benefits is preferred.

Technology Proficiency: Working knowledge of Brightspace D2L, Microsoft 365 including SharePoint, OneDrive & Teams, PeopleSoft, Anthology, FSA Partner websites, and other remote training tools.

Training & Development: Proven experience in developing, delivering and ensuring engagement of scalable, asynchronous training programs and tracking completion for large teams in a remote environment.

Relationship Building: Comfortable developing relationships and rapport across teams to promote collaboration and continuous improvement.

Communication: Excellent communication skills, both verbal and written, with a proven ability to convey complex and specialized topics to diverse audiences in clear, accessible language.

Problem Solving & Analysis:

  • Ability to analyze data and reports to assess risks and identify opportunities for improvement via training.
  • Ability to use professional judgment and discretion to assess the current state for needs and make training implementation decisions.
  • Ability to independently design training programs to fulfill needs.

Adaptability & Independence:

  • Self-motivated with strong problem-solving skills.
  • Ability to balance multiple projects.
  • Anticipate and problem-solve areas of risk.
  • Thrive in a dynamic environment with regularly shifting priorities.
