Role overview

We're looking for a Lead Event Manager based in Barcelona who will be responsible for the planning, coordination, and execution of a wide range of events, ensuring their successful delivery from concept to completion. This role requires exceptional organizational skills, attention to detail, and the ability to work collaboratively with cross-functional teams and external partners. The Lead Event Manager will also lead the event team to ensure alignment and achievement of event goals. Success in this role involves creating memorable and impactful events that align with Welltech objectives and increase engagement.

Key Responsibilities:

1. Event Strategy & Planning

  • Develop and execute the company's event strategy aligned with business strategy.

  • Create an annual event calendar, including a wider scale of events from the people team (engagement, wellbeing, charity, etc.).

  • Define event objectives, key deliverables, and success metrics.

  • Ensure consistency in branding, messaging, expenses tracking and experience across all events.

2. Event Team Leadership & Coordination

  • Manage and mentor the event team, ensuring clear roles and responsibilities.

  • Oversee event team workflows, set priorities, and allocate resources effectively.

  • Foster collaboration between departments to align event planning with business needs.

  • Lead cross-functional coordination with marketing, HR, and leadership teams.

3. Event Execution & Logistics

  • Oversee end-to-end event management, from concept to execution.

  • Manage event logistics, including venue selection, catering, AV setup, and suppliers.

  • Ensure seamless execution of offline, hybrid and virtual events, coordinating tech requirements.

  • Handle budget planning, expenses control, and reporting for all events.

  • Conduct risk assessments and ensure compliance with safety regulations.

4. ​​Cross-Team Collaboration & Stakeholder Engagement

  • Work closely with internal departments (TA, Comms, Finance, IT, etc.) to align event goals.

  • Maintain strong communication with C-Level to ensure strategic alignment.

  • Lead cross-functional collaboration, ensuring smooth workflows between teams.

  • Partner with external vendors, sponsors, and agencies, negotiating contracts and service agreements.

  • Ensure high-quality service delivery from external suppliers.

5. Post-Event Analysis & Continuous Improvement

  • Gather feedback from attendees, leadership, and teams to measure event success.

  • Analyze event performance and identify areas for improvement and innovation.

  • Document best practices and create event playbooks for future reference.

6. Innovation & Trends

  • Stay up to date with industry trends and implement new technologies or formats.

  • Explore opportunities for sustainability and improved attendee engagement.

Required Skills:

  • 5+ years of experience in event management or communications.

  • Proven ability to plan and execute large-scale events.

  • Strong team leadership and people management skills.

  • Excellent project management and multitasking abilities.

  • Strong communication and stakeholder management.

  • Confident in public speaking and presentations.

  • Proficient in English.

  • Proficiency in using office software and equipment.

  • Skilled in internal collaboration tools - e.g. Asana, Slack, Confluence.
