What you'll do:
Perform detailed and comprehensive reconciliation of multi-state payroll, including gross wages, net pay, tax withholdings, deductions, and benefits across multiple business entities.
Identify, investigate, and resolve discrepancies between payroll records and accounting/finance data, ensuring timely and accurate reconciliations of all payroll-related accounts.
Reconcile payroll reports with the general ledger to ensure accuracy and completeness of payroll expenses.
Ensure adherence to federal, state, and local payroll tax laws, including the accurate withholding, reporting, and payment of taxes for employees across various states and jurisdictions.
Keep up-to-date with changes in payroll regulations and tax laws affecting multi-state operations, ensuring ongoing compliance and accurate reporting.
Manage payroll reconciliation across multiple states, including handling complex state-specific tax issues, unemployment insurance, workers’ compensation, and other state-mandated benefits.
Oversee state and federal payroll tax filings, ensuring compliance with varying requirements for different jurisdictions.
Conduct detailed payroll audits on a regular basis to ensure all data is accurate, complete, and in compliance with internal policies and regulations.
Perform periodic audits of payroll data and perform necessary adjustments to correct any discrepancies in employee pay or deductions.
Coordinate with auditors during internal and external audits, providing all requested documentation and reports.
Prepare and submit comprehensive payroll reconciliation reports to management, highlighting any discrepancies, issues, or variances and offering resolutions for correction.
Work closely within the US Payroll Operations team to provide clear and detailed reports on payroll liabilities, ensuring alignment with financial records.
Assist in the preparation and review of year-end payroll documentation, including W-2s, W-2cs, and 1099s, ensuring that multi-state and multi-entity reconciliation is accurate for tax reporting.
Recommend and implement process improvements within payroll systems to streamline reconciliation processes and enhance accuracy.
Some key qualifications:
Based in the United States
Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
Payroll certification (e.g., CPP - Certified Payroll Professional) is a plus.
Minimum of 3-5 years of experience in payroll processing and reconciliation, with a focus on multi-state and multi-entity payroll.
Knowledge of payroll systems and software (e.g., ADP, Paychex, Ceridian, or similar platforms).
Strong understanding of payroll tax laws, including federal, state, and local regulations.
High attention to detail and excellent organizational skills.
Strong problem-solving abilities to address and resolve payroll discrepancies.
Proficient in Microsoft Excel and other payroll-related software.
Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Strong communication skills for liaising with employees, vendors, and management.
Ability to maintain confidentiality and handle sensitive payroll data with discretion.
Ability to work independently as well as part of a team.
