Schedule: Monday to Friday, flexible between 12:00 PM – 9:00 PM, [Break duration] | San Diego, CA, USA (PST) | Possible weekend shifts down the line

  • Manage a multi-line phone system, expertly handling inquiries, scheduling appointments, and providing information about services
  • Conduct comprehensive patient questionnaires, including detailed health histories, demonstrating sensitivity and professionalism
  • Orchestrate a complex appointment schedule, deftly managing conflicts and ensuring optimal patient flow
  • Craft clear, empathetic follow-up emails to patients, enhancing their care experience
  • Bridge the gap between paper and digital systems by accurately transferring handwritten information into the clinic’s digital platform
  • Provide crucial administrative support during extended evening hours, ensuring continuity of care beyond regular office hours
  • Collaborate with healthcare providers to ensure seamless patient care and efficient clinic operations
Requirements
  • Fluent bilingual proficiency in English and Spanish, with excellent verbal and written communication skills in both languages
  • Proven experience in medical administration or a related customer service role, preferably in a healthcare setting
  • Strong interpersonal skills with a warm, empathetic demeanor and a patient-first mindset
  • Demonstrated ability to handle confidential information with the utmost discretion, adhering to HIPAA regulations
  • Proficiency in data entry and basic computer skills, with the ability to quickly adapt to new software systems
