Classic Vacations is seeking a meticulous and detail-oriented Groups Contract Specialist to join our dynamic Groups department. This pivotal role ensures the accuracy and completeness of contract-related documentation, oversees contract quality control, and liaises with vendors to coordinate payments and contract verification. Contract Management:

  • Receive, review, and negotiate hotel contracts and addendums from the CV Group Team.
  • Verify contract details align with group manager entries, ensuring accuracy in rates, room block allocations, and cancellation policies.
  • Ensure contracts comply with legal and company policies, proactively identifying and mitigating potential risks.
  • Draft and finalize contracts for Travel Advisors, incorporating negotiated terms and conditions.

Coordination and Communication:

  • Work closely with the Contract Supervisor, Groups, to meet contract requirements and deadlines efficiently.
  • Build and maintain strong relationships with hotel vendors to facilitate seamless negotiations and quick issue resolution.
  • Assist Travel Advisors with client inquiries related to contract terms, availability, and booking modifications.

 Analysis and Reporting:

  • Analyze contract performance, booking trends, and financial impacts using Excel or similar tools, providing insightful reports to management.
  • Continuously review and optimize contract management processes to improve efficiency and reduce errors.

Training and Support:

  • Provide guidance and training to Travel Advisors on contract terms, booking procedures, and system utilization to enhance accuracy and efficiency.

Required Experience & Technical Skills:

  • Proven experience in negotiating and managing hotel contracts.
  • Strong negotiation skills with expertise in vendor relationship management.
  • Proficiency in Microsoft Excel, Word, Outlook, and internet research.
  • Excellent written and verbal communication skills with exceptional attention to detail.
  • Ability to analyze financial implications related to hotel contracts, including budgeting and cost management.
  • Demonstrated success in project management, handling multiple projects simultaneously while meeting deadlines.
