Mon - Fri 9 AM- 6 PM (CST) includes 1h unpaid break.



Job Description

As a Legal Assistant in this thriving immigration law practice, you’ll play a pivotal role in managing client communications and streamlining administrative processes. You’ll work directly with the attorney to ensure smooth operations, enhance client experiences, and contribute to the firm’s growth. Responsibilities
  • Manage and respond to approximately 30 client emails daily, ensuring prompt, professional, and accurate communication
  • Draft and proofread reference letters and other legal correspondence with meticulous attention to detail
  • Serve as the first point of contact for clients, handling incoming calls and efficiently managing the attorney’s schedule
  • Provide exceptional customer service by following up with clients, verifying information, and addressing inquiries about case statuses
  • Assist in preparing and sending invoices, maintaining financial records, and supporting basic accounting tasks
  • Organize and maintain case files, ensuring all documents are properly filed and easily accessible
  • Support the attorney in preparing immigration forms and applications, ensuring accuracy and completeness
  • Conduct preliminary research on immigration laws and regulations as needed
  • Coordinate with external parties such as government agencies or other legal professionals when required
  • Implement and maintain efficient office systems to improve productivity and workflow
Requirements
  • Excellent written and verbal communication skills in English
  • Basic understanding of legal terminology, preferably in immigration law
  • Strong attention to detail and ability to maintain strict confidentiality with sensitive information
  • Proficiency in email management, Microsoft Office suite, and willingness to learn new legal software
  • Outstanding customer service orientation with a professional and empathetic demeanor
  • Ability to work independently, manage time effectively, and prioritize tasks in a fast-paced environment
  • Associate’s or Bachelor’s degree preferred, but equivalent experience will be considered
  • Previous experience in a law firm or legal setting is advantageous but not required
  • Excellent organizational skills and ability to handle multiple tasks simultaneously
  • Strong problem-solving skills and ability to take initiative in improving office processes
  • Flexibility to adapt to changing priorities and willingness to learn new skills as the practice grows
