Job Overview


We are looking for a dynamic and results-driven US Subcontractor Sales Coordinator to join our facilities maintenance team. The ideal candidate will be responsible for identifying, engaging, and recruiting qualified subcontractors or service providers to partner with the company. You will be responsible for reaching out to potential subcontractors, building relationships, and convincing them to collaborate on key projects across multiple locations. This role also involves managing subcontractor compliance, performance, and ensuring smooth coordination between internal teams and external partners.


Job Description
  • Subcontractor Identification, Recruitment, and Engagement:
    • Conduct outbound calls and initiate outreach efforts to potential subcontractors or service providers in various fields (e.g., HVAC, maintenance services).
    • Build and maintain relationships with subcontractors, presenting the company’s needs and services to convince them to work with us.
    • Identify and research new subcontractor opportunities, expanding our network of trusted partners.
  •  Subcontractor Evaluation and Compliance:
    • Conduct thorough vetting of potential subcontractors, including background checks, license verification, insurance compliance, and reference checks to ensure they meet company standards.
    • Maintain a detailed database of qualified subcontractors, tracking their service areas, certifications, and past performance.
  •  Contract and Documentation Management:
    • Ensure all subcontractor agreements, including service contracts, non-disclosure agreements, and other legal documents, are executed and compliant with company policies.
    • Monitor subcontractor compliance with safety regulations, industry standards, and licensing requirements. Keep track of insurance and certifications, ensuring they remain up to date.
    • Maintain organized and accurate records of subcontractor documentation, making it easily accessible when needed.
  •  Project Coordination and Scheduling:
    • Collaborate with the Directors of Operations to assign subcontractors to specific tasks based on project needs, priorities, and deadlines.
    • Coordinate subcontractor schedules and ensure timely execution of tasks, addressing any issues that may arise along the way.
    • Work closely with internal teams to allocate resources to subcontractors for successful project delivery.
  •  Sales, Communication, and Relationship Management:
    • Serve as the primary point of contact for subcontractors, responding to inquiries and maintaining ongoing communication.
    • Provide regular updates to the Directors of Operations on subcontractor performance, project progress, and any challenges or issues that require attention.
    • Develop and nurture long-term relationships with subcontractors, creating a mutually beneficial partnership.

Requirements
  • Minimum 5 years of proven experience in sales, recruitment, project, or subcontractor management.
  • Experience working with US clients is required.
  • Ability to perform outbound calls and cold outreach to potential subcontractors.
  • Experience in facilities maintenance or a related field is a big plus.
  • Strong communication, negotiation, and interpersonal skills with the ability to persuade and build relationships.
  • Strong organizational skills with attention to detail, especially in managing documentation and compliance.
  • Self-motivated, results-oriented, and able to thrive in a fast-paced, dynamic environment.
  • Knowledge of industry standards, safety regulations, and compliance requirements is a plus.
