About the role...

The Program Services Coordinator is an entry level, temporary position, reports to the Program Services Manager. The Coordinator will provide support as needed in connection with Road Scholar program information and processes as it exists in our various systems. The position is primarily responsible for maintaining the process flow related to providing airport transfers for participants taking our programs in the Canadian provinces. The Coordinator will work within various systems, as well as with teams outside of Program Services when there are inquiries related to the process. Additionally, there may be ad hoc tasks that support the daily operations of the department. The Program Services Coordinator must act with participants’ best interests and Road Scholar’s expectations in mind.

Road Scholar offers a remote work environment. The compensation for this temporary, non-exempt/hourly position is $21.00 -$25.00 per hour based on experience. This position is 20 hours maximum per week, Monday - Thursday, 9:00am - 2:00pm ET for about 8 months. There are no benefits with this temporary position. 

In this role, you will...

  • Provide Program Services Support:
    • Supporting the Program Services Team with all tasks related to administering the airport transfers for programs in the Canadian provinces.
    • Working within a CRM system to identify participants who need the airport transfer service.
    • Be responsible for meeting or exceeding deadlines for delivery of the participant documents needed to facilitate their airport transfers.
    • Monitoring and maintaining excel spreadsheet to ensure all program departures are accurately reflected as are the transfer details for each.
    • Following through on communications from other teams when there are questions about a particular program’s transfer arrangements.
    • Reviewing program information to be sure it accurately reflects the availability or lack thereof an airport transfer.
    • Filing documentation appropriately per standard operating procedures. 
  • Collaborate with team members and others affiliated with the Road Scholar network:
    • Submitting reports to external vendors to ensure they are prepared to deliver their services on site.
    • Following through on communications with vendors while managing deadlines and escalating any significant decisions, actions or situations internally. 
    • Preparing participant communications in accordance with standard operating procedures.
  • Collaborate on department projects.
    • Attending Program Services department meetings as required and will work with other members of the Road Scholar team as needed to support overall department goals.
    • Other duties as assigned.

We're seeking...

  • An organized professional with 1-2 years administrative or relevant experience.
  • Bachelor’s degree preferred or equivalent work experience.
  • Experience using Microsoft Office systems, specifically Excel (advanced), Word and Outlook, as well as other technical applications.
  • Experience managing multiple projects independently and ability to pivot based on priorities.
  • Analytical skills with high attention to detail essential.
  • Ability to work collaboratively in a multi-functional and global team environment.
  • Excellent verbal and written communication skills, along with strong interpersonal and problem-solving abilities.
  • Self-starter, resourceful, and able to take initiative.
  • Someone who is familiar with Road Scholar’s mission, programs and have the desire to learn procedures for supporting the operation of programs.
