This is a remote position.

Job Title: Finance Specialist (Invoicing, Bookkeeping & Payroll)
Location: Remote
Job Type: 4 hours per day, 20 hours a week
Work hours: Mon - Fri 2pm - 6pm Dallas, TX time

Position Overview:
We are seeking a skilled and detail-oriented Finance Specialist to manage key financial operations, including invoicing, accounts payable, bookkeeping, and payroll. The ideal candidate will have proven expertise in handling a variety of financial tasks while ensuring accuracy and compliance with company policies. This role is essential for maintaining the smooth financial operations of our organization and will work closely with various departments to ensure all financial obligations are met on time.

Key Responsibilities:
Invoicing:
• Prepare, issue, and track client invoices to ensure timely payments.
• Follow up on overdue invoices and resolve any billing discrepancies.
• Reconcile invoices and client accounts to ensure accurate financial records.
• Track and monitor refund payments to ensure payment is received

Bookkeeping:
• Maintain accurate financial records by recording daily transactions.
• Conduct general ledger reconciliations and ensure proper classification of expenses.
• Assist in the preparation of monthly, quarterly, and annual financial reports.
• Monitor cash flow and ensure proper expense allocation.

Payroll:
• Process payroll for all employees, ensuring timely and accurate disbursement.
• Manage payroll records, including employee time tracking, deductions, and benefits.
• Ensure compliance with tax regulations and withholdings (federal, state, and local).
• Address and resolve any payroll-related inquiries or issues.
• Prepare and submit payroll tax filings and year-end reporting (e.g., W-2s, 1099s).
• Ensure compliance with financial regulations and maintain confidentiality of sensitive information.

Requirements
Qualifications:
• Must have a very high level of knowledge and experience with Microsoft Quickbooks accounting software
• Must have Minimum of 3-5 years of experience in finance, with expertise in invoicing, accounts payable, bookkeeping, and payroll.
• Experience with managing finance teams and implementing new systems and procedures to make the finance department more efficient (preferred)
• Proficiency in Microsoft Office Suite specifically Excel
• Excellent communication skills in English both speaking and writing
• Strong understanding of accounting principles, payroll processes, and financial regulations (sales tax) in the US
• Education: Bachelor’s degree in Accounting, Finance, or a related field (preferred).
