Job Title: Executive Assistant
 
Compensation Range: $70,000-85,000 Base + 10% Bonus (Depending on Experience)  

Location: Remote (US-based)

Position Overview
We are seeking a highly motivated and detail-oriented Executive Assistant to support multiple C-suite leaders at Quid, with a strong focus on stakeholder management, finance, and operations. Our team is fully remote, collaborating across different time zones to deliver high-quality products and services. We're looking for a highly organized and proactive Executive Administrator to join our team and support our executives in achieving business success. The ideal candidate has 3-6 years of experience, preferably in a remote-first work environment, and excels at and handling sensitive information with discretion. This role requires exceptional attention to detail, strong communication skills, and the ability to coordinate our leadership team across strategic priorities in a fast-paced setting. 

Responsibilities
Executive Support & Calendar Management 
  • Provide high-level administrative support to C-suite executives  (CEO, CFO)
  • Manage complex scheduling, calendar coordination, and meeting logistics   
  • Coordinate and schedule internal executive meetings and external stakeholder meetings (clients, investors, board members, etc)
  • Ensure seamless coordination across multiple time zones in a remote work environment 

Event & Communication Coordination 
  • Prepare agendas, take detailed meeting notes, and follow up on action items 
  • Schedule and coordinate group events such as board meetings and company-wide All-Hands
  • Act as a liaison between executives and internal/external stakeholders 
  • Handle highly confidential communications and sensitive information with discretion 

Travel, Vendor & Expense Management 
  • Arrange domestic and international travel, including flights, hotels, and ground transportation 
  • Manage travel itineraries and support time-sensitive adjustments as needed 
  • Process expense reports, vendor payments, and credit card reconciliations in accordance with company policies 

Administrative & Operational Support 
  • Oversee key administrative functions, such as vendor management and stakeholder engagement
  • Assist with document preparation, presentations, and special projects 
  • Support internal operations teams by coordinating initiatives and handling ad hoc requests
Requirements
  • 3-6 years of EA experience with innovative leaders in a fast-paced environments
  • Bachelor’s degree in business administration, communications, or another related field
  • Proven ability to support multiple C-suite executives simultaneously  
  • Experience working with cross-functional leaders and managing company-wide operations 
  • Strong organizational and problem-solving skills with the ability to adapt to shifting priorities 
  • Strong interpersonal and communication skills
  • Professional, discrete, and trustworthy with confidential and sensitive information
  • Energized by precision, efficiency, and proper execution
  • High attention to detail, especially when coordinating meetings, travel, and expenses
  • Proven experience handling highly confidential information with discretion, including executive communications, financial data, and board materials, ensuring strict adherence to privacy and security protocols.
  • Ability to liaise with vendors and internal teams to ensure smooth operations
