This role supports WHI customers with complex billing inquiries requiring analysis and coordinates collections activities within the business and with the eBay Global collections team.

  • Submits WHI invoices to enterprise customers such as General Motors and Nissan via their respective purchasing platforms (e.g.: Ariba) to make sure we get paid per the terms of our agreement(s).
  • Maintains WHI customer billing profiles as follows:

Enters new billing profiles for new customers onboarded. Handles changes to billing profiles for customers based on new purchase order number provided or new products subscriptions added, etc. Disables billing profiles or individual billing components based on customer cancellations/changes. Handles Salesforce billing support cases received from customers such as credits requests and product cancellations, coordinating changes of related service(s) based on the effective date with customer support management. Maintains customer information in Salesforce Maintenance. Also handles billing tasks assigned such as customer billing contact changes, email bounce back report changes, and customer address/contact changes.

  • Enters sales leads into Salesforce and assigns to the appropriate sales representative based on territory or account ownership.
  • Performs a monthly reconciliation with head of implementations to make sure all completed customer onboarding for the prior month have an accurate billing profile setup.
  • Handles new sales order processing and cancellation requests for value added resellers of WHI products.
  • Has taken over collections for Evocat, VIP, Enterprise, Standard and Manufacturer Subscriptions, walking customers through transacting payment using WHI’s payment portal or setting up Auto-Pay as the need arises. Also, helps prepare the quarterly 180 plus past due account list provided to collections team for placement with an outside collection agency. Outreach, Strategy and drafting collection communications. Tasks that involve meticulous strategizing and overseeing payments for over 380 accounts. Given the time-intensive nature of this undertaking, which involves extensive outreach through calls and emails, as well as leading communications directed towards these accounts-
  • Collects sales tax reseller certificates from reseller customers, handling expirations and procurement of updated certificates.
  • Plays a large role in the WHI annual customer price increases exercise by helping to compile the data and sending out the price change communications to customers.
  • Works with her manager to document workflows and ways to improve efficiency with respect to billing and customer information change workflows.
  • Various miscellaneous one-off projects throughout the month assigned by me or our level 4 Analyst.
  • Assisting in Customer PO management for invoices and any payment portal issues.
  • Confirming branch cancellation are done 2 days before the monthly billing run.
  • Participates and has follows up with billing support and payments team on misapplied credits and deposits on customer accounts
