Job Title: Legal & Finance Executive Assistant
Location:
Remote (EST Time Zone)
Salary Range:
up to 2000 USD

Work Schedule:
Monday - Friday, 9:00 AM to 5:00 PM (EST)

About the Company:

We are a fast-growing toy company looking for a highly organized and proactive Legal & Finance Executive Assistant to support the Owner in managing daily tasks, projects, and deadlines. This role is essential for ensuring operational efficiency, allowing leadership to focus on high-level business goals. The ideal candidate is detail-oriented, tech-savvy, and highly adaptable.

Key Responsibilities:

  • Email Management: Sort and organize emails related to legal, factory, and finance and respond when necessary.
  • Deadline Tracking: Monitor deadlines for the owner and team, ensuring timely follow-ups.
  • Travel Coordination: Book flights, hotels, and handle all necessary travel arrangements.
  • Research & Reports: Conduct research (including AI for image creation) and present findings concisely.
  • Project Coordination: Work closely with the Integrator (Beth) to ensure all projects and targets are met.
  • Task Management: Maintain project sheets (e.g., factory updates, CA sales tax) and oversee task completion.
  • Legal & Financial Liaison: Maintain communication with lawyers, finance teams, and external advisors for regular updates and necessary actions.
  • Freelancer Oversight: Hire and manage freelancers via Upwork when required.
  • Daily Owner Support: Keep the owner on track by providing structured reminders and priority lists to prevent task overload.


Qualifications and Requirements:

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills (email, phone).
  • Ability to multitask and take initiative without constant supervision.
  • Tech-savvy with proficiency in Outlook, Google Sheets, Word, and Excel.
  • Problem-solving mindset and ability to push projects over the finish line.


Nice-to-Haves:

  • Familiarity with AI tools and image generation.
  • Basic understanding of legal and financial processes.
  • Experience managing freelancers on Upwork.
  • Knowledge of Amazon operations.
  • Proficiency in project management tools.
