We are looking for a proactive and resourceful individual to join our team as an Administrative and Logistics Support Specialist. This role involves a variety of responsibilities.

Key Tasks & Responsibilities

  • Manage IT asset inventory, including receiving, delivering, and maintaining accurate stock levels through reporting.
  • Oversee the IT asset lifecycle, from purchase to disposal.
  • Track damaged assets and manage the repair process.
  • Manage equipment leases.
  • Manage phone lines and devices. Prepare cost optimization programs based on usage.
  • Prepare, deliver, and track onboarding equipment kits for new employees.
  • Manage the request, receipt, sanitization, and repurposing of assets from offboarded employees.
  • Handle common finance requests, such as uploading invoices to finance tools, correlating and correcting invoices, retrieving past invoices, and assigning cost centers to expenses.
  • Create and manage accounts in various SaaS platforms.
  • Manage and track courier services.
  • Demonstrable basic knowledge of SAP By Design.
  • Demonstrable project management skills.
  • Proficient in Jira and Confluence, including documenting and following up on tickets.
  • Excellent written and spoken English (B2 minimum) and native Spanish fluency.
  • Strong problem-solving skills with the ability to identify alternative solutions.
  • Ability to work independently and autonomously.
  • Must reside in the Madrid area and have reliable transportation suitable for transporting assets to/from the office and warehouse.
  • Availability to work on-site at the office as required by business needs, probably several times a week.
  • Provide logistics support for company events.
  • Assist in new services research and procurement.

What You Will Bring To The Role

  • 3-5 years of recent experience as an administrative
  • Provider negotiation experience
  • Use and Administration of Microsoft 365.
  • Use of Jira Cloud.
  • SAP or another ERP related experience.
  • Assets Inventory.
  • Excel skills and database management.
  • Proficient in Spanish and English (C1).
  • Must have a car for picking up and sending devices, and managing material reception.
  • Hybrid work

This role requires to have a valid working permit in Spain.
