Job Summary:
The Site Project Specialist communicates with project members to ensure awareness of any new developments in a project's status. This role is responsible for the effective and efficient coordination of the project through a range of actions contributing to the design, planning, management and monitoring of project activities, including organizing meeting times and locations, updating a project schedule, and ensuring that all necessary parties are aware of project deadlines.
Essential Duties & Responsibilities:
- Lead and implement Site Material Handling execution and procedures for assigned site project
- Receive, inspect, control, and manage all materials and equipment from arrival at site to handover to GE construction disciplines and/or related subcontractors and report any issues or damages
- Verify against master shipping list of materials that all boxes sent by GE and its suppliers have been received at site
- Understand and comply GE’s shipping documents, markings, packaging, and storage requirements
- Implementation of preservation procedures and check proper storage conditions as per equipment’s recommendation and in accordance with GE specifications and industry standards
- Receive, inspect, control, and manage all materials and equipment from arrival at site to handover to GE construction disciplines and/or related subcontractors and report any issues or damages
- Procure local supplies and consumables as directed by project management and in accordance with company directives
- Participate in Open Case Inspections (OCI’s)
- Track material from port and/or airport to project site, if applicable Manage any temporary import of tools and for any temporary export of equipment for any refurbishing requirements
- Establish systems and implement procedure for receipt of materials at site, storage, and release of materials to erection sub-contractors
- Establish and implement storage control procedures in discussion with erection subcontractors; organization of storage area (sizes, indoor/outdoor, boxes arrangement and accessibility per unit, per equipment, per MLI Model List Item) to support storage
- Establish stock control procedures to address material shortages
- Establish and ensure preservation procedures; check proper storage conditions are in place as per packing list storage code and OEM preservation documentation (material in open space, under shelter, closed building, chemicals storage). Install temporary preservation devices as per GEK procedures such as air dehumidifier, energize space heater for generator, air conditioning for electrical containers, piping protection, acoustical and thermal insulation and any other applicable activities
- Ensure logistic boxes inventory follow installation schedules
- Ensure all documents accompanying material deliveries are complete and correct as detailed in the specifications and purchase orders and ensure proper archiving of records
- Perform detailed inventory of boxes against individual packing lists and report results of inspection
- Identify missing or damaged parts and report on missing or damaged parts with drawings identification, photos
- Communicate weekly updates to the Site Manager for order of the missing or damaged parts
- Daily logs will be maintained which record all events to address any subsequent claims or disputes
- Maintain records that fully reflect the inspections performed
- Provide detailed documentation of any damages caused prior to delivery
- Follow all assigned Environmental, Health and Safety procedures
- Manage and update Containment book
- Attend and participate in site meetings
Site Admin
- Work closely with Project Managers, and site managers to assure all work hours and tasks are complied
- Support site procurement
- Arrange accommodation and travel for new expatriate staff and site management team, assisting employee relations coordinator with visa applications as required
- Understand local authorities’ requirements and ensure compliance in coordination with the Site Manager
- Run scheduled, and ad hoc reports as required for operations team
- Obtain required daily documentation/confirmation and correspondence of work performed
- Collect all time sheets or crews and process them through the appropriate approval process
- Maintain files, records, and calendars and schedule appointments to maximize organizational efficiency
- Tracks and reconciles all site financial transactions on an ongoing basis as well maintain and administer the site petty cash float as per procedure
- Records orders for merchandise or service
- Obtains and disseminates information regarding all personnel matters to employees
- Operates office equipment such as Microsoft Office Skills, including Outlook, Word, Excel, and Access
- Opens and routes incoming mail, answers correspondence, and prepares outgoing mail
- Greets and assists visitors and guests.
- Maintains invoice, purchasing, regulatory, and correspondence filing systems
- Prepares and submits monthly billing summaries as required
- Prepares, documents, and arranges transportation for all equipment and material being shipped from the warehouse
- Inventories administrative supplies and reorders as necessary, including purchase orders
- Travel required for long term assignments
- Ability and willingness to work holidays, weekends and overtime as required by field assignments
- May be assigned other duties to help proactively drive our FieldCore vision and align with our organization’s core values.
Required Qualifications & Experience:
- Higher Diploma or Degree level, preferably in an engineering discipline and/or significant relevant project management, engineering and/or construction experience
- 7+ years working experience in project management
- English proficiency required

Compensation and Benefits:
The hourly wage range for this position is $37.84 to $60.53. Employees may be eligible for overtime. FieldCore benefits include insurance (medical, dental, vision, disability, and life), retirement savings, health and Wellness reimbursement, and a bonus or incentive program. Eligibility for FieldCore benefits is determined under the terms of the applicable benefits plan.
