Position Overview
We are seeking a highly organized and proactive Licensing and Credentialing Specialist to oversee and manage licensing, and compliance processes for healthcare providers, including but not limited to physicians, nurse practitioners (NPs), physician assistants (PAs), and registered nurses (RNs). This role involves submitting new license applications, ensuring prompt renewal of licenses and certifications, gathering and maintaining required documentation, and ensuring regulatory compliance. 

What You'll Be Working On (Duties include but not limited to):
  • Maintain efficient licensing process to accommodate licensing across multiple states, coordinating between providers, medical boards and government agencies, and collecting provider credentialing and licensing materials.
  • Collaborating with our credentialing team to ensure all provider licensing requirements are met in a timely manner.
  • Tracking and completing license renewal, DEA, CSR and CME requirements in the system.
  • Coordinating with providers to complete licensing applications.
  • Resolving licensing or credentialing issues by communicating effectively with providers.
  • Tactically manage coordination with medical boards to ensure the licensing process continues to proceed smoothly.
  • Managing provider documentation and organizing materials to effectively cross license providers in multiple states.
  • Keep our licenses and statuses organized - everyone across the Operations and Clinical teams will know where licenses stand at any given time.
  • Maintain database of knowledge of current medical provider requirements for credentialing and licensure in each state
  • Conduct interviews with providers to gather detailed information about their medical background, job history, and malpractice history.
  • Ensure all necessary licensing details are collected, including NPI and DEA registration information, CVs, malpractice insurance documentation, and training certificates.
  • Assist with credentialing processes involving CAQH profiles, including verifying and attesting information.
  • Gather and compile all required licensing and credentialing documents, maintaining strict confidentiality.
  • Assist providers with administrative tasks such as notary services, fingerprinting, and mailing or shipping documents.
  • Create onboarding documents, including checklists and guides, to support new staff in the licensing process.
  • Monitor and track CME credits for providers using platforms such as CE Broker and Net CE.
  • Participate in peer review committees to address licensure-related issues.
  • Provide 'white glove' support, maintaining regular communication with providers to address inquiries and follow up on progress.
  • Present updates, reports, and recommendations to stakeholders and leadership.
  • Regular and predictable attendance is expected.
  • All other duties as assigned.

  • Preferred Qualification:
  • Minimum 2-4 years of experience in licensing.
  • Notary certification or experience providing notary services preferred.
  • Certification in credentialing or medical staff services (e.g., CPCS or CPMSM).
  • Knowledge of compliance requirements for clinical trials or healthcare organizations

  • Certifications/Licenses, Education, and Experience:
  • Bachelor's degree preferred, or equivalent experience in credentialing, licensing, or a related field.
  • Demonstrated experience in licensing, credentialing, and compliance processes.
  • Familiarity with NPI, DEA registrations, and IMLCC requirements.
  • Knowledge of FVCS, and interstate licensure compacts.
  • Experience conducting detailed interviews with healthcare professionals regarding their professional history and documentation.
  • Proficiency in credentialing software such as Verifiable, CE Broker, and Net CE.
  • Advanced proficiency in Microsoft Excel and other Office Suite tools.
  • Strong problem-solving and critical thinking abilities.
  • Exceptional attention to detail and organizational skills.
  • Excellent interpersonal skills, including the ability to conduct interviews and build rapport with healthcare providers.
  • Comfortable contacting state boards and regulatory agencies to resolve issues.
