WHAT YOU’LL DO:

We are seeking a Contracts Specialist Lead to manage strategic sourcing initiatives for our client. This role will involve facilitating the contract lifecycle process between vendors, internal business teams, and clients to ensure that contracts meet the needs of all stakeholders while adhering to company policies, legal standards, and performance metrics. 

The ideal candidate will excel in both contract facilitation and stakeholder coordination, serving as a liaison between various teams to drive efficient and accurate execution of the contract process. This includes but not limited to drafting, negotiating, and managing contracts, resolving disputes, and collaborating closely with client contracts teams to ensure all agreements are executed on time and in compliance with regulatory and service-level requirements. The candidate should also be adept at balancing stakeholder priorities while maintaining operational excellence. 

 

KEY RESPONSIBILITIES:

  • Team Leadership & Workflow Management 

    • Lead a strategic sourcing and contracts team, providing direction, mentorship, and support to ensure high-quality performance and timely task execution. 
    • Oversee the daily operations of the team, ensuring that all procurement and contract activities are completed efficiently and in alignment with client expectations. 
    • Delegate and prioritize tasks to team members based on project requirements and deadlines. 
    • Act as a middle point between the team and client leadership, communicating updates, resolving issues, and managing escalations related to contracts. 
    • Conduct regular team meetings to review project progress, discuss priorities, and ensure alignment with strategic goals. 
    • Monitor and manage team performance, providing feedback and identifying opportunities for development and process improvements. 

     

    Contract Facilitation & Process Coordination 

    • Serve as a facilitator for contract processes, ensuring efficient collaboration between internal teams (e.g., legal, finance, procurement), external vendors, and client representatives. 
    • Lead contract lifecycle management activities, from initial drafting and negotiation to execution, renewal, and compliance monitoring. 
    • Coordinate efforts across cross-functional teams to clarify roles, responsibilities, and timelines for completing contractual deliverables. 
    • Identify and resolve delays, bottlenecks, or conflicts during the contract negotiation and approval process. 
    • Maintain clear and timely communication with vendors and internal business teams to provide updates, address concerns, and ensure mutual understanding of contractual terms. 

    Strategic Sourcing & Vendor Management 

    • Lead strategic sourcing initiatives, including the evaluation of indirect procurement categories such as professional services, IT, office supplies, and facilities management. 
    • Develop and manage Requests for Proposals (RFPs), Requests for Information (RFIs), and vendor negotiations to ensure optimal value for the organization. 
    • Collaborate with internal stakeholders to understand procurement needs, define sourcing strategies, and ensure alignment with business goals. 
    • Analyze vendor spend data, evaluate cost-saving opportunities, and recommend improvements to sourcing practices. 
    • Build and maintain strong vendor relationships to ensure continued operational efficiency, performance, and cost optimization. 

    Contract Risk Management & Compliance 

    • Work with XFN teams to review, redline, and finalize contracts while ensuring all terms meet regulatory and organizational risk requirements. 
    • Ensure compliance with Service Level Agreements (SLAs), financial policies, and procurement regulations. 
    • Monitor contract performance, milestones, and vendor deliverables to proactively address issues before they escalate. 
    • Support risk mitigation efforts by ensuring key stakeholders have full visibility into high-value contracts and vendor commitments. 

    Operational Efficiency & Process Improvement 

    • Identify opportunities to improve contract workflows and procurement operations, implementing solutions to streamline processes and reduce cycle times. 
    • Participate in business system development and technology enhancements that support procurement automation and data reporting. 
    • Track and report contract status, key performance indicators, and sourcing outcomes to inform leadership of ongoing progress and strategic priorities. 

     

    Required Skills and Qualifications 

    Core Skills: 

    • Contract Facilitation & Stakeholder Management: 
    • Ability to guide internal and external teams through complex contract processes, ensuring alignment and accountability at every stage. 
    • Experience working closely with client contracts teams, with a strong understanding of client-facing contract requirements and expectations. 
    • Strategic Sourcing Expertise: 
    • Proficiency in vendor management, negotiation, and cost analysis. 
    • Experience developing and managing RFPs, vendor evaluations, and contractual agreements. 
    • Legal & Compliance Awareness: 
    • Familiarity with contract law, risk management, and regulatory requirements. 
    • Ability to collaborate effectively with legal and risk management teams to ensure contracts meet all compliance standards. 
    • Communication & Stakeholder Engagement: 
    • Strong interpersonal and negotiation skills, with the ability to build relationships with stakeholders at all levels. 
    • Proven ability to communicate contract terms, progress updates, and recommendations clearly and concisely. 

    Technical & Analytical Skills: 

    • Proficiency in contract management and ERP systems (e.g., Oracle or similar platforms). 
    • Advanced knowledge of Microsoft Office Suite (Excel, Word, PowerPoint) and data management tools. 
    • Strong analytical skills for evaluating vendor performance, identifying trends, and supporting data-driven decisions. 

 

ESSENTIAL CRITERIA:

  • Experience supporting client contracts with a focus on service-level agreements and client-specific requirements. 
  • Familiarity with procurement technology tools and automation platforms. 
  • Knowledge of vendor performance management and business continuity planning for large-scale vendor agreements. 
  • Experience in industries with complex vendor management needs, such as technology, corporate services, or supply chain operations.
