Job description

The Collections Manager will play a key role in managing and reducing delinquent accounts across Havenpark Communities. This individual will oversee account statuses, enforce collections policies, and ensure compliance with both state laws and company guidelines. Additionally, the Collections Manager will mange our partnership with the collections agency and serve as a vital resource for community collections efforts and reduce delinquency rates, directly contributing to the financial health of the organization.

Responsibilities
  • Monitor and Track Delinquent Accounts
  • Track all delinquent accounts, ensuring they progress through the collections process in a timely manner.
  • Generate regular delinquency reports for the company, broken down by region and community.
  • Analyze delinquency trends and provide actionable insights to achieve company collections goals.
  • Monitor progress toward delinquency and collections benchmarks, ensuring accountability at all levels.
  • Enforce Company Collections Policies
  • Generate and review reporting to confirm community teams are adhering to company collections policies.
  • Ensure compliance with state laws and company policies regarding late fee amounts, legal fee amounts, and timing of charges.
  • Conduct weekly calls with community teams that are not meeting company delinquency standards to:
  • - Identify root causes of underperformance.
  • - Help create and implement a corrective action plan.
  • - Hold teams accountable to their plans and follow up regularly on progress.
  • Ensure Compliance
  • Research and stay up to date on the collections process and legal requirements in each state where Havenpark operates.
  • Ensure all actions taken align with fair housing laws, ethical practices, and company values.
  • Provide training and resources to community teams to ensure they understand and follow the legal and policy requirements for collections.
  • Manage Collections Agency Partnership
  • Oversee the relationship with the collections agency partner, ensuring they have accurate and complete account information to maximize recovery efforts.
  • Provide necessary documentation and support to facilitate efficient and compliant collections.
  • Monitor the agency’s performance, tracking recovery rates and identifying areas for improvement.
  • Address any issues or discrepancies in the collections process, ensuring seamless coordination and resolution.
  • Analyze collections data and trends, using insights to optimize strategies and increase recovered funds.

  • Qualifications
  • Education and Experience:
  • Bachelor’s degree in business administration, finance, property management, or a related field (preferred).
  • 3+ years of experience in property management, collections, or a similar role.
  • Experience managing and analyzing financial reports to drive business decisions.
  • Skills and Competencies:
  • Strong understanding of state and federal laws related to collections and fair housing.
  • Exceptional organizational and time-management skills.
  • Proven ability to lead and coach teams to meet performance goals.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and property management software.
  • Effective communication and interpersonal skills, with the ability to handle challenging conversations.
  • Analytical mindset with the ability to identify trends and recommend solutions.
