About the Role

 

As the Senior Administrative Assistant, you will play a vital role as a partner to Vice Presidents and department leaders in the commercial organization by ensuring smooth day-to-day operations, managing administrative tasks, coordinating schedules, and aiding communication flow within the team. S/he interacts with staff at all levels in a fast-paced environment with a high level of professionalism and confidentiality.

 

You’ll Make an Impact By:

 

  • Providing comprehensive administrative support to the commercial leadership team.
  • Identifying gaps and providing recommendations that create efficiencies within the commercial operations team.
  • Communicating updates and aid information flow between leadership and within the commercial organization.  
  • Managing complex calendars, ensuring top priorities are always addressed. 
  • Attending meetings as required, take detailed notes, and follow up on action items.
  • Managing the hospital credentialing program for the commercial organization. 
  • Proactively managing meeting logistics, complex travel arrangements and expense reporting in compliance with Company policies and procedures. 
  • Assisting with the preparation of general correspondence, presentations, reports and meeting materials to support business initiatives. 
  • Reviewing documents for spelling, grammar, layout and make appropriate changes. 
  • Handling management of procurement activities (vendor set up, purchase orders, invoices, etc.)
  • Overseeing contracts management with vendors, consultants, and other external partners.
  • Managing internal and external meeting coordination and event planning in collaboration with the marketing team.  
  • Acting as administrative back-up support to the Executive Assistant to CEO as required.
  • Supporting other administrative duties as needed to support team efficiency and effectiveness.

 

To Excel, You’ll Bring: 

 

  • 5+ years of relevant office administration experience, preferably in a commercial or sales-driven environment.        
  • Associate or Bachelor degree in business or relevant field preferred.
  • Experience supporting senior management/executive level leadership, preferably in the Life Science Industry.
  • Experience in a fast-paced start-up environment strongly preferred.
  • Experience in managing complex travel arrangements.
  • Advanced technical aptitude in Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint.
  • High level of professionalism, discretion, and confidentiality in handling sensitive information.  
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • A proactive solution-oriented mindset with strong attention to detail.
  • Excellent oral and written communication skills with critical thinking skills.
  • Ability to work independently with minimal direction, using good judgment, taking initiative to accomplish short and long-range projects, and recommend actions with minimal direction.
  • Ability to work as a team member, multi-task and be very flexible to adapt to the ever-changing work priorities and requirements of a dynamic, fast growing company.
  • Strong organizational skills and attention to detail.
  • Ability to travel domestically as needed.
  • Ability to lift 10-15 pounds.
  • Travel up to 10%.
