Job description

Position Overview:

We are seeking a detail-oriented and self-driven Administrative Assistant to support our Finance, Customer Service, Production, and Shipping teams. In this role, you will manage daily administrative tasks and data entry, ensuring smooth and efficient operations. Your ability to work independently and use various software tools, including our ERP system, will be essential to your success. You will be an integral part of our team, even while working remotely.

Job Details

  • Work from home
  • Monday to Friday | 6:30 AM to 3:30 PM (Manila Time)
  • Holidays Observed: Australian Public Holidays (Victoria)
  • Year-End Shutdown:

For this year, the plan is to work until December 23rd, with a shutdown period beginning on December 24th and work resuming on January 5th. Please note that only official AU public holidays during the shutdown are observed as holidays. Any additional non-holiday days taken during this shutdown period will need to be offset using your available annual leave.

Responsibilities:

Finance Team Support

  • Accounts Receivable:
    • Review and approve customer invoices
    • Monitor overdue accounts and clear debtor accounts
    • Assist with preparing reports and maintaining the customer database

Customer Service Support

  • Master Style Information & Management
    • Create new styles in our ERP system
    • Upload styles into our sales platform
  • Sales Order Management
    • Process and hand over production data
    • Key orders into the ERP system
    • Support replenishment and transfers
  • General Administration
    • Manage returns by providing RA numbers and processing invoices

Production Team Support

  • Purchase Order Management
    • Upload and export data for various departmental reports
  • Document Administration
    • Prepare, edit, and format documents and reports using our ERP system, Excel, and Google Sheets

Shipping Team Support

  • Shipping Documents
    • Prepare, edit, and format shipping documents and related reports using our ERP system, Excel, and Google Sheets
  • Supplier and Delivery Schedule
    • Work closely with suppliers to ensure all necessary documentation is received on time to meet delivery deadlines

Qualifications:

  • Years of Experience: At least 2 years of experience in an administrative support role or a related field
  • Language Skills: Advanced comprehension and communication skills in English
  • Numeracy Skills: Strong ability to work with numbers, spreadsheets, and data details is essential
  • Administrative Skills: Proven ability to multitask independently and prioritize workload efficiently
  • Interdepartmental Liaison: Experience in liaising with various departments is highly beneficial, ensuring smooth communication and collaboration across teams
  • Communication: Excellent written and verbal communication skills
  • Software Proficiency: Proficient in Microsoft Office Suite and Google Workspace
  • ERP Experience: Familiarity with ERP systems is preferred (experience with Cin7 is a plus, but not essential)
