Job Description

Step into a dynamic role as a Personal Assistant / Administrative Assistant for a cutting-edge interior design and cabinetry firm. This position offers a unique blend of high-level administrative support and client relations, perfect for someone who thrives in a fast-paced, luxury-oriented environment. You’ll be the linchpin of daily operations, directly supporting company leadership and managing critical communications with high-profile clients nationwide. Responsibilities
  • Manage a high volume of emails and phone calls, ensuring prompt and professional communication with clients and partners
  • Maintain an impeccably organized calendar, scheduling appointments and making reservations for company leadership
  • Facilitate calls and provide timely updates to clients on their project statuses
  • Serve as a liaison between the company and overseas design teams, coordinating revisions and ensuring smooth project flow
  • Create engaging marketing materials using Squarespace apps, contributing to the company’s digital presence
  • Handle diverse administrative tasks using Microsoft Office or Apple equivalents, showcasing your technical versatility
  • Utilize TalkRoute for efficient outbound dialing and call management, enhancing client outreach efforts
  • Assist in order processing and general business operations, contributing to the company’s overall efficiency

Requirements
  • Exceptional English language skills with outstanding verbal and written communication abilities
  • Proven track record of high-level organization and meticulous attention to detail
  • Proficiency in Microsoft Office suite or Apple equivalents (Pages, Numbers), with the ability to adapt to new software quickly
  • Strong customer service orientation and experience in handling high-profile, intellectually demanding clients
  • High emotional intelligence and the ability to build rapport with a predominantly female client base
  • Ability to understand and relay complex information accurately and professionally
  • Self-starter mentality with the capacity to work independently and manage multiple priorities effectively
  • Bachelor’s degree preferred but not required; equivalent experience in a similar role will be considered
  • Comfort with remote work and potential for flexible hours as needed
  • Discretion and professionalism in handling confidential information
