Job Title: Senior Executive Assistant
Location:
Remote (CST Time Zone)
Salary Range:
up to 3800 USD

Work Schedule:
Monday - Friday, 9:30 AM to 5:30 PM (CST)

About the Company:

Sagan represents a boutique advisory firm specializing in helping clients achieve their goals through strategic guidance and operational support. The Senior Executive Assistant will work directly with the founding partner to streamline daily operations, manage priorities, and enhance efficiency across multiple ventures.

Key Responsibilities:

Correspondence and Calendar Management:

  • Manage and prioritize incoming messages across email, LinkedIn, and Twitter/X.
  • Oversee calendar scheduling using tools like Outlook, Superhuman, and Calendly.


CRM and Task Management:

  • Maintain and update CRM systems such as Pipedrive.
  • Monitor and manage client tasks using Todoist to ensure deadlines are met.


Financial Oversight:

  • Track receivables and payables, ensuring accuracy and timely processing.


Process and Workflow Management:

  • Bring structure to unorganized or unclear tasks, creating clarity and actionable steps.
  • Proactively identify inefficiencies and recommend workflow improvements.


Qualifications:

Must-Haves:

  • Strong English language proficiency (both written and verbal).
  • 3+ years of experience in administrative or operational roles.
  • Exceptional organizational skills and the ability to manage competing priorities.
  • Comfort with navigating and learning new software tools.
  • Strong communication skills and a proactive mindset.


Nice-to-Haves:

  • Enjoys organizing and streamlining complex tasks.
  • Familiarity with productivity tools such as Slack, Zoom, and social media platforms.
  • A confident, problem-solving mindset and ability to speak up when priorities are unclear.
