Payroll Administrator

The Role:

The Payroll Administrator is responsible for accurately processing the full cycle of weekly and bi-weekly payroll for our 2500+ team members. This role works closely with the payroll team and people managers to ensure that both hourly and salaried employees are paid accurately and on time each week. The position also manages and oversees the processing of garnishments, tax reports, reconciliations, and payroll audits, all while maintaining the highest standards of integrity, confidentiality, and professionalism. This position reports to the Payroll Manager.

Key Accountabilities:

• Prepare and process full-cycle weekly and bi-weekly multi-state payroll for 2,500+ team members across the USA, Canada, and Puerto Rico, using Workday HCMS for payroll data and ADP SmartCompliance for settlements and taxes.
• Review and verify the accuracy of time entries, employee data changes, and retroactive calculations in Workday.
• Ensure payroll accuracy through audit reports, data analysis, and collaboration with the payroll team and people managers, while reconciling employee deductions, including union dues, and administering wage garnishment orders in compliance with federal and state regulations.
• Prepare on-demand checks for terminations, retro-adjustments, and other urgent disbursements, ensuring timely and accurate distribution.
• Prepare and print payroll reports detailing earnings, hours worked, taxes, insurance, leave, 401(k), and other items as required.
• Cross-train to provide backup for other payroll team members during weekly/bi-weekly payroll runs, and interact with employees at all levels to address pay-related concerns in a friendly, courteous, and accurate manner.
• Respond to requests for pay-related documents, including statements and verifications, while ensuring compliance with federal, state, and local tax, wage, and hour laws.
• Stay updated on system changes and wage/tax law updates, assist with the setup, testing, and maintenance of the payroll system in Workday, and balance payroll tax and taxable wages to the year-to-date W-2 box totals, resolving discrepancies to minimize year-end corrections.
• Support the Payroll Manager in preparing state, federal and local quarterly and annual tax returns, W-2s, and assist with annual year-end payroll, tax processing, reconciliation, and reporting.
• Perform other duties as assigned.

Skills & Experience:

  • High school diploma/GED required.
  • Minimum 3 years administering payroll in a high volume, multi –state, multi-company, union environment.
  • Workday payroll experience highly preferred.
  • Strong proficiency in MS Office – Teams, Word, Outlook. Advanced Excel skills – including pivot table and v-look up.
  • Must have high integrity and handle HR & payroll information with high degree of confidentiality.
  • Solid understanding of federal, state and local payroll regulations and requirements as well as payroll best practices and HR policies
  • Keen attention to detail, process execution and follow-through with excellent organization skills
  • Ability to work under pressure.  Simultaneously manage multiple job assignments and ability to meet payroll deadlines.
  • Ability to analyze and resolve problems in a logical and effective manner.
  • Excellent communication skills in a fast-paced environment consisting of technical, interpersonal, and virtual contact.
  • Demonstrated ability to build and sustain positive working relationships at all levels in the organization.
  • Ability to work independently and as a team member to fulfill all job duties in a collaborative virtual environment.
  • CPP certification preferred.

COMPETITIVE COMPENSATION:

We provide market-driven base pay, based on skills, abilities, and level of experiences. Our salary ranges are broad, and individual salary will be market competitive based on a candidate’s unique set of skills and level of experience. The starting range for this position is $27.40 - $36.38, with additional earning potential possible commensurate with experience. Additionally, we believe that our team members are the reason for our success and all team members are incentive eligible with a target based on contribution, company performance, and individual results achieved. While the specific bonus plan and target amount will be determined based on the role and breadth of contributions, the targeted bonus plan and targeted percentage amount for this role is Bonus - MIP, 5% Annual.
